Job Title: Receptionist/ Administrative Assistant
Reports To: Administrator
Status: Non-exempt
Prepared By: Administrator


SUMMARY:

The Administrative Assistant position is responsible for the overall management and provision of administrative support activities to the Administrator and other designated management staff at Lincoln Nova Vital Recovery Center.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Answer phones and greet guests walking into the facility with a polite and professional demeanor.
  • Assist the administrator or marketer with public relations activities.
  • Is responsible for the overall management of the mail distribution system in an accurate and timely manner.
  • Is responsible to appropriately, professionally, and accurately address / respond to all executive management staff telephone calls.
  • Assist the administrator or marketer with completion of any Lincoln Nova Vital Recovery Center client outcome and satisfaction surveys.


ADDITIONAL DUTIES AND RESPONSIBILITIES:

  • Is responsible for the administration and purging of the Lincoln Nova Vital Recovery Center administrative records.
  • Is responsible to facilitate all internal agency-wide communications as assigned by the CEO and/or Administrator.
  • To perform other duties as assigned by the Administrator.


REQUIRED QUALIFICATIONS AND CERTIFICATIONS:

The Administrative Assistant will have a minimum of a high school diploma, will have completed an approved secretarial program, or have equivalent administrative experience.

ESSENTIAL KNOWLEDGE, SKILLS, ABILITIES, AND PERSONAL CHARACTERISTICS:

  • Must possess demonstrated computer skills in MS Office software applications including Word, Excel, and Power Point.
  • Must demonstrate the ability to effectively function as a team member.
  • Must demonstrate the ability to effectively manage multiple tasks concurrently.
  • Must possess exceptional communication and organizational skills.
  • Must be able to relate with empathy and sensitivity to staff, clients, and the community.
  • Has the ability to appropriately interact on the telephone and answer agency questions.
