SUMMARY:
The Administrative Assistant position is responsible for the overall management and provision of administrative support activities to the Administrator and other designated management staff at Lincoln Nova Vital Recovery Center.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Answer phones in a timely manner and greet guests walking into the facility with a polite and professional demeanor.
- Assist administration with any duties that are assigned.
- Is responsible for the overall management of the mail distribution system in an accurate and timely manner.
- Is responsible to appropriately, professionally, and accurately address / respond to all executive management and staff telephone calls.
- Responsible for admitting clients and gathering entry level information upon arrival.
- Responsible for alerting staff of client’s arrival immediately after admission procedure.
- Complete Intake Screen Process during overflow periods and on the weekends.
ADDITIONAL DUTIES AND RESPONSIBILITIES:
- Is responsible for assisting the Business Office Staff and Administration in purging the Lincoln Nova Vital Recovery Center administrative/clinical and medical records.
- Is responsible to facilitate all internal agency-wide communications as assigned by the Administrator.
- To perform other duties as assigned by direct supervisor and/or Administration Staff.
REQUIRED QUALIFICATIONS AND CERTIFICATIONS:
The Administrative Assistant will have a minimum of a high school diploma, will have completed an approved secretarial program, or have equivalent administrative experience.
ESSENTIAL KNOWLEDGE, SKILLS, ABILITIES, AND PERSONAL CHARACTERISTICS:
- Must possess demonstrated computer skills in MS Office software applications including Word, Excel, and Power Point and Teams.
- Must demonstrate the ability to effectively function as a team member.
- Must demonstrate the ability to effectively manage multiple tasks concurrently.
- Must possess exceptional communication and organizational skills.
- Must be able to relate with empathy and sensitivity to staff, clients, and the community.
- Has the ability to appropriately interact on the telephone and answer agency questions.
PHYSICAL DEMANDS:
- Ability to lift 25 pounds.
- Operate a computer and keyboard.
