Summary: The District Registrar plays a critical role in ensuring accurate student enrollment data, maintaining compliance with residency requirements, and supporting families through the enrollment process. This position requires exceptional attention to detail, strong communication skills, and the ability to navigate complex student data systems to uphold the integrity of district records.
Essential Duties and Responsibilities: Other duties may be assigned.
- Ensure Data Integrity and Compliance: Accountable for the accuracy of student enrollment data, ensuring alignment with district policies and state regulations. Regularly audits records to verify accuracy and resolve discrepancies.
- Residency Verification and Enrollment Eligibility: Conducts comprehensive residency audits to confirm student eligibility for enrollment, proactively identifying and addressing concerns related to non-resident attendance. Reviews annual leases to ensure ongoing enrollment eligibility. Coordinates inter-district transfers while adhering to district policies.
- Enrollment Management and Family Support: Leads new and annual student registrations, including processing online applications, verifying required documentation, and facilitating enrollment transitions. Provides guidance to families regarding enrollment procedures and district policies.
- Stakeholder Communication and Customer Service: Serves as a primary point of contact for administrators, teachers, staff, students, families, and community members regarding enrollment and residency matters. Delivers professional and courteous customer service to all stakeholders.
- Building-Level Coordination: Informs school personnel of new enrollments, ensuring the proper distribution of critical student information (e.g., medical records to nurses, IEPs to Special School District). Prepares transfers and reactivations for students receiving specialized services.
- Virtual Program Oversight and Financial Management: Manages the enrollment of students in MOCAP-approved virtual learning platforms (e.g., Launch, Edmentum, Mizzou Academy).
- Invoice and Budget Coordination: Oversees payments and reconciliations of virtual learning and alternative programming. Processes purchase orders and invoices.
- Technology and Data Systems Proficiency: Utilizes district databases and various digital platforms (Google Suite, spreadsheets, student information systems) to maintain and analyze enrollment data. Performs downloads from Special School District’s database to ensure seamless data integration.
- Professional Development and Collaboration: Actively participates in staff meetings and professional learning opportunities to enhance expertise in enrollment policies, student data management, and customer service best practices.
Education and/or Experience:
High School Graduate; and at least 3 years secretarial experience or training
