Job Summary:
The HR Benefits/401K Administrator will serve as a key member of the Human Resources team, responsible for administering employee benefit programs, managing 401K plans, ensuring compliance with ACA requirements, and providing exceptional customer service to employees. This role will also involve handling year-end benefits reporting, COBRA tracking, FMLA and leaves administration, and supporting open enrollment campaigns. The HR Benefits/401K Administrator will manage the flow of benefit-related data, assist in employee onboarding and separation, and work collaboratively with other departments such as Finance, Payroll, and HR.
Qualifications:
- Education: Bachelor’s degree in human resources, Business Administration, or related field preferred.
- Experience: Entry-level experience in benefits administration, human resources, or related field. Experience with 401K plan administration, ACA compliance, or FMLA is a plus.
Skills:
- Strong proficiency in Excel and other MS Office applications.
- Knowledge of benefits administration, including health, dental, vision, life insurance, 401K plans, COBRA, FMLA, and leave programs.
- Strong understanding of ACA regulations and reporting.
- Excellent communication and interpersonal skills, with the ability to effectively interact with employees at all levels.
- Ability to maintain confidentiality and manage sensitive information.
- Strong organizational and time-management skills, with the ability to manage multiple tasks and priorities simultaneously.
- Languages: Bilingual (English and Spanish) preferred.

Key Responsibilities:
- Customer Service: Provide high-quality service for all employee inquiries related to benefits, 401K plans, wellness programs, onboarding, and separation. Address employee concerns and questions in a professional and timely manner, ensuring satisfaction.
- Benefit Provider Relationships: Build and maintain strong relationships with benefit providers, ensuring seamless communication and support for all benefit-related matters.
- 401K Administration: Oversee and manage the company’s 401K plans, including enrollments, employee contributions, compliance with regulations, and assisting employees with plan-related inquiries.
- Open Enrollment Campaigns: Plan and manage the company’s open enrollment campaigns, communicating benefits options, deadlines, and instructions clearly to employees to ensure smooth enrollment processes.
- Year-End Benefits Reporting: Assist in generating and reviewing year-end benefits reports, ensuring accuracy in employee benefit data for tax reporting, reconciliation, and compliance purposes.
- ACA Compliance and Reporting: Ensure compliance with Affordable Care Act (ACA) requirements, including tracking eligibility, reporting, and filing the necessary forms (e.g., 1095-C) to meet IRS regulations.
- COBRA Tracking: Manage COBRA continuation of coverage notifications and tracking, ensuring timely communication and compliance with COBRA regulations for eligible employees.
- Employee Engagement and Wellness: Manage employee engagement and wellness initiatives, including planning and implementing wellness programs to encourage employee participation and satisfaction.
- Data Management: Support HRIS system data entry for benefits-related deductions, changes, and enrollments. Regularly update and audit benefits records to maintain accuracy.
- Cross-Department Collaboration: Work with departments such as Payroll, Finance, and other HR teams to ensure efficient administration of benefits and employee-related tasks.
- FMLA and Leaves Administration: Provide assistance in the administration of FMLA and other leave programs, ensuring compliance with federal and state regulations and proper record-keeping.
- Audit Support: Assist with internal and external audits, ensuring that benefit plan records and processes meet compliance requirements.
- HR Support: Provide general support for HR-related campaigns and other initiatives as needed, contributing to the overall HR function.

Pay: $69,000.00 - $72,000.00 per year
