Position Overview
The RFE Support Specialists for stage 3 are responsible for completing RFE forms and documents, the RFE assembly process, and the RFE signature review tasks. This individual works cross-functionally on the specific functions of the RFE team, ensuring processes are completed based on standard operations procedures and by the necessary deadline. This candidate must be able to work efficiently on a rotational duty of tasks, while maintaining strong organizational skills. Finally, the candidate must be fluent in both Spanish and English.
Essential Job Functions & Responsibilities
RFE Form and Document responsibilities:
- · Draft RFE Forms in a timely and complete fashion based on guidance provided by legal team
- · Upon completion of RFE Forms, send to legal team for final review prior to sending to the client
- · Send finalized and approved RFE forms to client for final approval via document signature program
- · In charge of drafting letters of support with appropriate interview notes gathered from clients
- · Send completed letters of support to clients in order to obtain signatures by the witnesses
RFE Assembly process responsibilities:
- · Electronically assemble all RFE case documents and materials together to create RFE packets to submit to USCIS
- · Upon RFE case assembly completion, finalize task in case management system to allow for copy to be sent to the legal team
- · Verify client information matches case and necessary RFE supporting documentation is included in the case packet prior to final submission
RFE Signature Review responsibilities:
- · Utilize client’s RFE draft packet to prepare subpackets using merge, combine, and edit functions on Adobe Acrobat. Send subpackets, both physically and electronically to client
- · Complete a scan of the RFE declaration and forms documents to ensure they are correct documents prior to sending to client
- · Contact clients to obtain electronic signatures based on queue cases. Follow-up once the client has had a window to review and sign. May be responsible for assisting or troubleshooting and issues during this process
- · Make all corrections advised by the client. Follow SOP to ensure that appropriate individuals are notified of requested changes based on scope or impact of change. Verify and collect any additional information from the client that may be needed to make corrections or changes to RFE documents
Essential Skills, Knowledge & Abilities
- Possesses excellent bilingual (English and Spanish) interpersonal and communication skills, both written and verbal
- Strong organizational skills and attention to detail
- Strong client service skills
- Proven ability to meet deadlines and time manage themselves
Minimum Qualifications
- · Bilingual (English Spanish) C1
- · Proficient with Microsoft Office or related software including Adobe or Sales Force
- · Highschool diploma or equivalent experience required
- · Previous experience in documentation management preferred
