- Maintain students’ permanent records, including entering students’ personal information into computer; recording rank and GPA on permanent record; entering course history, credits, and grades earned; entering grade and course
changes; and running calculations for GPA. - Answer phones, respond to inquiries, schedule requested appointments, and maintain counselors’ appointment calendars.
- Assist students and parents by responding to inquiries or by directing them to others.
- Process records for new student registration, including gathering required paperwork, mailing requests to parents for missing information, requesting records from previous school, and notifying parents if records are held for fines.
- Process withdrawal of students, including filling out withdrawal forms, verifying withdrawal by parent contact, and routing withdrawal form to teachers to collect grades.
- Prepare and mail transcripts for colleges and other high schools.
- Maintain list of student fines.
- Maintain inventory of forms.
- Purge student files for archiving.
- Maintain graduation lists, honors, and high honors.
- Maintain accurate course lists and descriptions for submission to NCAA clearinghouse.
- Specialized classes beyond high school.
- Criminal background check required for hire.
- One to two years of related experiences in a similar field.
- Ability to speak Spanish preferred.
- Oral and written communication skills; English language skills.
- Interpersonal relations skills; Customer service and public relations skills; Ability to diffuse and manage volatile and stressful situations.
- Personal computer and keyboarding skills; advanced computer hardware and software skills; operating knowledge of and experience with Microsoft Office and Google.

- Knowledge of operating, installing, supporting and maintaining PCs and associated application software preferred at hire.

Responsible for supporting the Building Principal or Designee and the high school by maintaining student cumulative files and database; answering phones and responding to inquiries; scheduling appointments and maintaining Counselors’ appointment calendars; assisting students and parents; processing records for new and withdrawing students; preparing and mailing transcripts; maintaining lists related to fines, academic lettering, honor roll, graduation, and honors; ordering supplies and maintaining inventory; and purging student files for archiving.
