Key Responsibilities:
Client Interaction & Front Desk Duties:
- Warmly greet patients upon arrival and assist with check-in/check-out.
- Answer phone calls, emails, schedule appointments, and manage patient inquiries promptly and professionally.
- Maintain a clean and welcoming reception area.
- Collect patient intake forms and ensure all necessary documentation is completed.
- Ensure a smooth and efficient flow of patients throughout the office.
EHR, Billing Support & Administrative Responsibilities:
- Accurately enter and update patient information in the electronic health record (EHR) system.
- Ensure proper documentation of patient visits, treatment plans, and medical histories while maintaining compliance with HIPAA regulations.
- Process insurance claims, verify patient coverage and benefits, and assist with pre-authorizations.
- Collect payments, issue receipts, and manage billing transactions, including patient copays and outstanding balances.
- Submit claims to insurance providers and follow up on reimbursements and discrepancies.
- Communicate with insurance companies regarding claims processing and assist with follow-ups as needed.
- Maintain digital and physical patient records in compliance with HIPAA and confidentiality policies.
- Prepare daily financial reports and reconcile end-of-day transactions.
- Assist chiropractors in accessing patient records and necessary documentation.
Office Management:
- Order and manage office supplies and chiropractic equipment inventory.
- Ensure office policies and procedures are followed.
- Coordinate staff schedules and support team efficiency.
Qualifications & Skills:
- Previous experience in a medical, chiropractic, or healthcare office preferred.
- Proficiency in using EHR systems and medical billing software.
- Strong communication and customer service skills.
- Ability to multitask and handle a fast-paced environment.
- Knowledge of HIPAA regulations and insurance billing practices.
- Detail-oriented with excellent organizational skills.
Education & Experience:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in healthcare administration or related field preferred.
- Certification in medical billing and coding is a plus.
