Executive Assistant – Full Time

The Executive Assistant provides high-level administrative support to CEO, CFTO, executive leadership team, board of directors, board committees, Foundation board of directors, and Living Branches leadership group. Coordinates and manages executive scheduling, prepares and organizes corporate and strategic materials, and supports board meetings and preparation of board materials.
Executive Assistant Overview:
· Works directly with the President/CEO and CFTO to support their daily work routine. Coordinates complex scheduling and calendar management. Organize meetings, off-site retreats, etc., as needed. Coordinates travel arrangements
· Serves as liaison for executives with team members, residents, vendors, and constituents. This includes receiving and screening executives’ phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution. Keeps executives advised of time-sensitive and priority issues, ensuring appropriate follow-up
· Assists CFTO in preparing the annual budget, annual financial audits, corporate financial filings, etc
· Organizes and maintains corporate and historical electronic and paper files. Provides information and general assistance as needed.
· Composes, reviews, and sends communications on behalf of executives, including memos, letters, forms, reports, and presentations
· Coordinates and conducts campus contact meetings with Dock Woods executive assistant, SMH executive assistant, and WLS administrative assistant
· Organizes meeting logistics and takes meeting minutes for executive leadership team, Living Branches leadership group, board of directors, board committees, Foundation board of directors, and task groups as assigned. Maintains and manages board portal.
· Maintains professionalism and strict confidentiality of information.
· Strong interpersonal skills, must interact seamlessly and with a professional demeanor across a broad range of individuals, including members of executive leadership team, board of directors, residents/families, and external constituents.
· Five (5) plus years administrative experience supporting board and senior-level management
· Exceptional organizational and time management skills with ability to organize and coordinate multiple concurrent projects.
· Excellent verbal and written communication skills, including writing, editing, and proofreading. Ability to format information for internal and external communication.
· Proficiency with office productivity tools, including Microsoft Office Suite, and aptitude for learning new software and systems.
