1. Role & Purpose

The receptionist is the first point of contact for patients, both in-person and over the phone. Their role is to create a welcoming, professional, and organized front desk experience. Since the position requires bilingual communication, the receptionist will help bridge the language gap for patients who may not speak English fluently, ensuring they receive clear instructions and excellent care.

2. Responsibilities Breakdown

  • Greeting & Checking in Patients – Patients should feel welcomed and comfortable from the moment they walk in. The receptionist ensures a smooth check-in process, answers any basic questions, and directs them to the necessary forms or next steps.
  • Phone & Appointment Scheduling – This includes answering phone calls, responding to inquiries, and scheduling (or rescheduling) patient appointments efficiently.
  • Patient Intake & Documentation – The receptionist will assist patients in filling out forms, verifying insurance details, and updating patient records in the system. Accuracy is key to ensuring smooth office operations.
  • Administrative Support – This includes handling emails, processing payments, managing office supplies, and helping the team stay organized.
  • Bilingual Communication – A crucial part of the job is assisting both English- and [Second Language]-speaking patients. The receptionist may need to translate conversations, help patients understand treatment plans, or clarify appointment details.
  • Office Cleanliness & Organization – Keeping the front desk and waiting area tidy creates a professional and welcoming environment.

3. Skills & Qualifications

  • Bilingual Fluency – The ability to communicate in English and another language is required to serve a diverse patient population.
  • Customer Service Skills – A friendly and patient-focused attitude is essential for making patients feel comfortable and valued.
  • Multitasking & Organization – The office can be busy, so the receptionist must juggle multiple responsibilities without getting overwhelmed.
  • Medical or Chiropractic Office Experience (Preferred) – While not always required, experience in a similar setting is helpful for understanding medical terminology and office procedures.
  • Tech Skills – The receptionist should be comfortable using scheduling software, patient management systems, and general office applications (Microsoft Office, email, etc.).
