Rehabilitation Medical Office Assistant (PRN)

Job Summary:

The Medical Office Assistant is responsible for daily office operations of the Rehabilitation Services Department. This position is also responsible for assisting the manager of rehabilitation services in coordinating and supervising daily clinical operations.

  • Mon-Fri
  • Variable Shifts
  • Tues, Thurs Coverage Weekly

Compensation:

  • $20.00 DOE
  • PRN Differentials

Responsibilities:

  1. Greets patients and visitors in a prompt, courteous and helpful manner.
  2. Processes outpatient referrals for therapy services in all locations by:
    1. Clarifying incomplete orders
    2. Contacting patients and scheduling them with appropriate therapist
    3. Requesting additional medical records as needed
  3. Completes new patient registration by:
    1. Entering patient information into Cerner/WebPT
    2. Reviewing face sheet and assuring entry is correct
    3. Providing health history and outcome measure forms for patient completion
    4. Scanning paper documents into therapy medical records including but not limited to prescription, face sheet, and additional medical records
    5. Checking patients in, paging therapists, and rooming patients
  4. Reviews referrals for requirements of Medicare, Medicaid, Workers Comp, and BCBS Healthy MT Kids. Monitors for re-authorization.
  5. Provides support to Patient Financial services regarding charges, documentation, occurrence codes, etc.
  6. Provides support to Medical Records regarding copies of therapy medical records.
  7. Schedules follow-up appointments for therapy
  8. Provides reminder calls to patients as needed
  9. Ensures patient plans of care and other documentation are sent to physicians in a timely manner
  10. Ensures appropriate documentation that requires signature are signed and documented
  11. Upon discharge, discharges patient from all systems and scans paper medical records
  12. Receives referral calls from Emergency Department and Post-Op and locates available therapist to see the patient.
  13. Reviews Cardiac Rehab Sharepoint and DCs patients from Cerner
  14. Reviews reports regarding recurring accounts and follows up with therapists or Cardiac Rehab on patient discharges.
  15. Audits charges daily and corrects any errors in a timely manner.
  16. Answers requests for medical records and billing information for third party payers, attorneys, and workers compensation case workers
  17. Answers phone calls and directs appropriately.
  18. Manages par levels for all therapy supplies and orders when needed.
  19. Assists therapists and patients in treatment areas as needed with basic set-up, and clean-up
  20. Ensures appropriate stock of supplies and linens to all rooms and treatment areas throughout day.
  21. At the end of the day, assures that all equipment, tables, and toys are clean.
  22. Sells supplies to patients and records transactions accurately.
  23. Drains and cleans hydrocollater bi-weekly.
  24. Monitors technology systems for problems (i.e. computerized scheduling and documentation systems) and communicates with department manager and IS department personnel as needed when problems arise.
  25. Provides statistics of visits to manager each month
  26. Undertakes special projects and assignments delegated by the department manager.
  27. Attends monthly staff meetings and other meetings as warranted by department manager.
  28. Submits invoices to department manager for approval
  29. Actively participates in Performance and Process Improvement

Additional Responsibilities:

  1. Internal chart audits as mandated by Manager of Rehabilitation Services.
  2. Livingston HealthCare required annual competency course(s).
  3. CPR certification
  4. Assists with maintaining and updating Chargemaster in conjunction with Manager of Rehabilitation Services.

Qualifications:

  1. High school diploma (minimum); associates degree preferred.
  2. Basic computer knowledge including operation of Microsoft Windows based computer.
  3. Ability and willingness to learn work specific software programs including but not limited to patient registration and scheduling program, documentation program, billing system, etc.
  4. Knowledge of business office and basic office equipment.

Additional Desirable Qualifications:

  1. Two-three years in a health care related office.
  2. Ability to multi-task.
  3. Knowledge of Microsoft Office Software package (Word, Excel, PowerPoint).
  4. Team player and cooperative with other personnel.
