The Production Assistant performs the required activities to support the building, scheduling, accounting, reporting and document management for quoting opportunities with an emphasis on accuracy, efficiency and profitability.
Essential functions may include, but are not limited to:
- Implement requested changes or additions from the Account Executive and communicate or route those changes to the affected internal departments.
- Request and process the proper documentation from external clients around certificates of insurance, terms and conditions and credit requests.
- Ensure receipt of signed quotes, tax exemption certificates and related documents from the external client and properly file for every confirmed opportunity.
- Ensure the receipt of requested deposits in accordance with published process and procedure.
- Complete final invoicing in tandem with the Account Executive within the timelines expressed by Accounting and Show Services leadership.
- Monitor deadlines for the Account Executive to submit TPLs and LOLs to Equipment Logistics. Notify the Account Executive as deadlines approach and alert them if a deadline is missed.
- Ensure onsite crew is well informed by working with the Account Executive to post appropriate schedules and documents on the Show Portal in a timely manner.
- Work with the Account Executive to confirm that the quoted equipment and labor is current and correct in a timely manner.
- Work with the Account Executive to review and evaluate technician expense reports for each show and approve or reject as needed to finalize billing.
- Review and act on Open Quote Reports. Communicate updates.
Base Salary Range: $17.95/hr - $26.61/hr This represents the low and high end of the company's base salary range for this position. Actual base salary range may vary based on various factors, including but not limited to experience.
