Position Overview
The Office Manager reports to the Executive Director and is responsible for administrative functions for the Executive Director. The Office Manager also serves as the office manager and works closely in an administrative support role with all other team members. In addition, the Officer Manager will be responsible for providing a range of functions to support the LISC office. Responsibilities include procurement administration, compliance and disbursements, and financial management. The successful candidate must be proactive, organized, familiar with budgeting, able to perform multiple tasks and work well with others at all levels; possess outstanding administrative and computer skills; and have excellent oral and written communication skills.
Responsibilities
- Maintain calendar, manager schedule meetings and events attendance.
- Develop and enhance processes / procedures to effectively manage daily office operations.
- Draft written correspondence(letters; emails; etc.) on behalf of senior team members
- Facilitate donor lists, records, and communication materials used for external partner sponsorship event attendance support;
- Process and track local office procurement expenses monthly for accuracy; provide financial management support to include : invoicing.
- Process all incoming checks, gifts, grants and track status of all receivables;
- Plan and coordinate department meeting logistics for meetings, trainings and internal events.
- Coordinate travel for LISC NY team and ensure logistics are handled timely;
- Manage logistics for Local Advisory Committee meetings (scheduling, preparing and distributing materials, maintaining minutes, logistics, and meeting coordination) and other committees such as Quarterly Partners Convening, etc.;
- Oversee department mail, supplies, inventory and periodical subscriptions
- Work with LISC IT to maintain / troubleshoot LISC operating systems, software, applications, computer & other office equipment;
- Develop and maintain strong working relationships with local Program staff and national LISC operations staff
- Work with the following LISC platform of software to accomplish tasks : Salesforce, Certify, NetSuite, ADP and Box, etc.
- Perform additional duties, as assigned.
