Position Description
Construction Contract Assistant
Primary Function: As Construction Administrative Assistant (CAA), you will be the backbone of our Construction team, providing essential administrative and clerical support. The CAA will work closely with the Executive VP of Construction, Accounting and the Project Managers ensuring smooth operations within the Construction Department.
Responsibilities:
- Administrative support to the Construction Department
- Assistance in subcontract and purchase order agreements processing through execution. Establishes and maintains basic project files.
- Coordinate start-up activities (work with site managers, phone/cable/wifi service)
- Collect and assemble invoicing and all other supporting documentation, subcontractor and vendor lien releases and insurance certificates required in preparing and submitting construction lender payment requests. Work with and have an understanding of commonly used AIA forms such as G702/G703.
- Coordinate compliance activities (monthly utilization reports, certified payrolls)
- Coordinate End of Job activities (complete certifications, turnover letters, assist with warranty manual preparation)
- Maintenance and ordering of department supplies.
- Maintain and update Operation Manual and Safety Program as needed.
- Codes and enters miscellaneous invoices for payment authorization.
- Create and type letters, emails, memos and prepare any other correspondence as necessary.
- Responsible for new vendor setup for Trade Partners and ensuring compliance regulations are met.
- Tracking and maintaining Trade Partner Lien Waivers. Maintain notice of furnishing logs.
- Must be detailed oriented, punctual, and work well within a team.
Skills and knowledge necessary for satisfactory performance include but are not limited to:
- High School Diploma: associates degree or more is desirable.
- 2 years of experience in a construction-related industry.
- Ability to create, edit and enter data into Microsoft Word, Excel, ProCore and work in accounting software systems.
- Ability to work effectively with limited supervision.
- Provide means of commuting to Office.
- Notary Public(within 60 days)
