What are the responsibilities and job description for the Sales and Event Coordinator position at Lodgco Hospitality?
JOB SUMMARY: Responsible for providing sales and event support to the hotel.
ESSENTIAL JOB FUNCTIONS:
Sales and Event:
- Coordination of all events and group business, as contracted by the sales team
- Answer sales phone calls and follow up to voicemails in timely manner
- Respond to all sales inquiries and follow-up on all customer needs accurately, timely and in a professional manner
- Actively solicit new business based on hotel’s needs (TBD by GM or Sales Leader)
- Proactively sell and conduct tours of meeting and banquet space while providing information on hotel
- Meet or exceed activity goals determined by GM or Sales Leader
- Work with sales personnel to achieve required sales team goals
- Generate correspondence, reports and necessary forms (i.e. contracts, prepare proposals, etc.) as directed
- Assistance in coordination of all group business as contracted by the sales manager
- Effectively communicate with all departments, including any outside vendors, to ensure that the meeting and related functions are executed to exceed the client’s expectations-assist set up, tear down of meeting rooms and/or additional amenities
- Ensure proper and organized setup and tear down of meeting rooms
- Maintain well-documented, accurate, organized and up-to-date file management
- Develop strong customer relationships through professional client communication
- Have current knowledge of hotel rates, strategies, discounts and promotions
- Communicate with hotel team for accurate execution of group’s needs (BEO’s and group resumes)
- Assist with completing required sales reports
- Assist hotel with implementing hotel specific selling strategies
- Confirm all group and meeting details prior to arrival
- Greet contact for each meeting and confirm expectations
- On-site contact during events – when needed
- Create signage (reader boards and door cards) specific to each event
- Create post-event evaluations of each event to ensure success in the future
- Build and maintain group blocks including inputting rooming lists when necessary
- Promptly follows-up on all customers needs and inquiries in an efficient and expedient manner
- Assists the sales manager with client events, etc.
- Book events and groups as deployed by Sales Leader

REQUIRED/PREFERRED EDUCATION AND EXPERIENCE
- Hotel experience required
- Event Management or Hospitality degree is strongly preferred
ADDITIONAL ELIGIBILITY QUALIFICATIONS
Valid driver’s license and safe driving record – satisfactory criminal background screening required
SUPERVISORY RESPONSBILITY
This position supervises Banquet Staff.

While performing the duties of this job, the employee is regularly required to verbally communicate, listen, stand for long periods of time, ability to walk, kneel, stoop, bend, and lift up to 50 pounds.
EXPECTED HOURS OF WORK
Flexible 40 Hours. Evening and weekend work is required based on client and business needs.
