This role requires a detail-oriented and experienced individual with a strong background in accounts payable. As the Billing Administrator, you will be responsible for resolving complex billing inquiries and disputes, ensuring that invoices are generated accurately and promptly. You will collaborate closely with both internal teams and customers to manage the efficient resolution of billing issues.
In addition to managing billing concerns, you will also be responsible for cutting checks to vendors and ensuring that no outstanding payables remain aged. This role plays a critical part in maintaining the accuracy of accounts payable and ensuring timely payments to vendors.
What you will be doing as a key player on our dynamic team:
- Process invoices, verify approvals, and ensure accuracy in payment processing as needed.
- Review and manage the daily verified billing list, address aged and non-aged items, and work closely with cross-functional teams to resolve issues efficiently.
- Review and address any aged reports that stay in the report for more than a week, ensuring they are processed promptly, escalate as needed.
- Aged Items: Monitor and address any items that remain on verified report list for more than a week, ensuring timely follow-up and resolution.
- Key point of contact for billing discrepancies and works directly with the service team to ensure resolve all invoice and payment issues and escalates to leadership as needed.
- Maintain accurate records of escalations and resolutions, providing insights into trends and areas that require attention.
- Create purchase orders and payables ensuring compliance with company policies.
- Minimize losses by escalating concerns to the manager and/or director.
- Prepare and process electronic transfers, check payments, and ACH transactions in accordance with vendor terms, ensuring maximum utilization of available discounts.
- Reconcile vendor statements and promptly resolve any discrepancies.
- Support AP automation initiatives and contribute to process improvement efforts.
- Ensure compliance with company policies and financial regulations.
- Ensure correct cost codes are used for all data entries.
- Ensure timely set up of sites and jobs upon receipt and promptly communicate the details to the service team once they are entered.
- Prioritize and resolve all tickets entered into Groove promptly and efficiently.
- Miscellaneous administrative support.
Skills & Qualifications:
- Familiarity with billing software and systems, along with a strong understanding of billing best practices.
- Attention to detail and ability to manage multiple priorities in a fast-paced environment.
- Excellent communication skills, with the ability to work cross-functionally and explain complex billing scenarios clearly.
- Strong analytical and problem-solving skills to address complex billing issues.
- A proactive and solutions-oriented mindset, always looking to prevent issues before they escalate.
Experience:
- Minimum of 6 years in an accounts payable role or accounting department.
- Experience in the distribution industry preferred.
- Associates or Bachelors required.
- Accounting, Finance or related field preferred.
