Job Overview
We are seeking a detail-oriented and organized Office Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support, managing schedules, and maintaining effective communication. This position requires a proactive individual who can handle various clerical tasks while demonstrating excellent phone etiquette and customer service skills.

Responsibilities

  • Manage and maintain office calendars, scheduling appointments and meetings as needed.
  • Answer phone calls and direct inquiries to the appropriate personnel while ensuring professional phone etiquette.
  • Perform clerical duties such as filing, data entry, and document preparation.
  • Assist with front desk operations, greeting visitors and providing them with necessary information.
  • Utilize QuickBooks for basic accounting tasks, including invoicing and expense tracking.
  • Proofread documents for accuracy and clarity before distribution.
  • Support overall office management tasks to ensure a productive work environment.
  • Collaborate with team members to streamline administrative processes and improve efficiency.

Qualifications

  • Proven experience in an administrative or office assistant role is preferred.
  • Strong proofreading skills with attention to detail in written communication.
  • Proficiency in calendar management and scheduling software.
  • Familiarity with QuickBooks or similar accounting software is a plus.
  • Excellent phone systems knowledge and strong phone etiquette skills.
  • Ability to perform clerical tasks efficiently while managing multiple priorities.
  • Strong organizational skills with the ability to maintain an orderly office environment.
  • A positive attitude, strong work ethic, and willingness to learn new skills.
