Position Summary:
The Legal Billing Specialist plays a critical role in managing the billing process to ensure that clients are billed accurately and timely, in compliance with client requirements and firm policies. This position involves close collaboration with attorneys, paralegals, secretaries, partners, and clients to provide exceptional service and maintain efficient billing operations
Key Responsibilities:
- Collect, calculate, and post all hours worked by attorneys and paralegals to ensure accurate client billing.
- Track and review billable hours to ensure attorneys and paralegals meet their billable hour requirements.
- Pre-bill billing attorneys monthly, make requested changes, and assist with the prompt distribution of final bills.
- Review bills and supporting documentation for accuracy and completeness prior to finalizing.
- Create and prepare client invoices for distribution, ensuring compliance with client-specific requirements.
- Mail invoices promptly and track payments to ensure they are issued and paid on time.
- Open new client matters in the billing system, perform conflict checks, and ensure client information is up to date.
- Handle appeals, address billing disputes, and research client billing questions or concerns.
- Answer client questions, resolve billing disputes, and provide superior customer service to maintain positive client relationships.
- Communicate and interact regularly with partners, attorneys, secretaries, other administrative staff members, and firm clients regarding billing issues and updates.
- Ensure invoices comply with firm policies and client requests, including proper formatting and accurate calculations.
- Generate reports on billing progress, billable hours, collections, and outstanding invoices for management and attorneys.
- Monitor and ensure client bills are consistent with legal billing standards and client contractual agreements.
- Identify and recommend improvements to streamline the billing process and enhance efficiency.
- Maintain confidentiality and accuracy in handling sensitive billing and financial data.
- Adapt to different time zones, as the firm operates in California and other regions.
- Perform conflict checks or other critical tasks after hours, as needed, to accommodate client and firm requirements.
Qualifications and Skills:
- Education: High school diploma required; associate’s or bachelor’s degree in business, accounting, or related fields is a plus.
- Experience: 2-3 years of experience in legal billing or a similar role.
- Proficiency in TABS or other legal billing platforms is highly desirable.
- Strong understanding of legal billing practices, including pre-billing, appeals, and client guidelines.
- Familiarity with legal terminology and law firm operations.
- Experience handling billing disputes and providing solutions.
- Knowledge of e-billing platforms and client-specific billing portals.
- Exceptional communication and interpersonal skills for collaboration with attorneys, partners, and clients.
- Proficiency in Microsoft Office Suite, particularly Excel.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
Job Type: Full-time
Pay: $70,000.00 - $80,000.00 per year
