Position Overview:
We are seeking a detail-oriented and proactive Executive Assistant to support a Partner specializing in litigation. The ideal candidate will have exceptional organizational, communication, and multitasking skills, with a strong ability to manage administrative and legal tasks in a fast-paced environment.
Key Responsibilities:
- Manage the Partner's calendar, scheduling meetings, appointments, and court appearances.
- Handle all administrative tasks, including email correspondence, document filing, and maintaining records.
- Compose, proofread, and revise documents, correspondence, and presentations with attention to accuracy and style.
- Coordinate and assist with outreach to clients for holidays, events, and other occasions.
- Build and maintain professional relationships with clients and key stakeholders.
- Prepare and e-file legal documents in compliance with court deadlines and procedures.
- Manage and ensure timely processing of legal documents.
- Perform dictation, transcribing notes accurately and efficiently.
- Assist with inputting and tracking billable hours in the firm's billing system.
- Assist with organizing internal and external events, including client events, conferences, and holiday gatherings.
- Conduct basic legal or administrative research when required.
- Prepare and compile reports, summaries, and presentations.
- Proactively resolve issues and prioritize tasks.
- Coordinate travel arrangements, including flights, hotels, and itineraries.
- Assist with special projects and ad-hoc tasks as needed.
Qualifications:
- Bachelor’s degree or equivalent work experience.
- Minimum of 3-5 years of experience as an executive or legal assistant, preferably in a law firm setting.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with legal billing software and e-filing systems preferred.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities with attention to detail.
- Ability to maintain confidentiality and exercise discretion in handling sensitive information.
- A proactive, problem-solving attitude and the ability to work independently or collaboratively.
Job Type: Full-time
Pay: $75,000.00 - $85,000.00 per year
