What are the responsibilities and job description for the Administrative Assistant to the Superintendent-School Committee position at Longmeadow Public School District?
REPORTS TO: Superintendent of SchoolsJOB MISSION: To insure the smooth and efficient operation of the school district in order to increase the effectiveness of the Superintendents Office and to assist the Superintendent in achieving the maximum positive impact on the education of children.PERFORMANCE RESPONSIBILITIES: 1.Maintain School Committee Policy Book and accompanying Administrative Procedures. Prepare memorandums outlining and explaining policies and procedures.2.Update employee handbook and student k-8 handbook annually for approval.3.Prepare agendas for School Committee meetings. Develop packets of material necessary for School Committee members to make decisions on agenda items.4.Attend and take minutes of all School Committee meetings. Prepare School Committee minutes for approval by the School Committee.
Responsible for maintaining permanent School Committee Minutes books.5.Responsible for posting all School Committee meetings with Town Clerk.6.Maintain calendar of recurring School Committee meeting agenda items.7.Register students entering the Longmeadow Public Schools, and organize kindergarten registration annually. 8.Act as CORI and SAFIS Administrator for the District. Maintain CORI and SAFIS records and process requests for Suitability Determinations.9.Liaison between the police department and school department dealing with verification of residency. 10.Collect, compile and report data for the School Attending Children report to the DESE.11.
Collect staff demographic changes annually.12.Post all district employment opportunities and manage School Spring employment site.13.Maintain a month-by-month deadline calendar for recurring items requiring School Committee and/or administrative action.14.Compose business letters, documents, news releases, reports and public relation items and handles routine correspondence for the Superintendent.15.Provide prompt response to individuals, outside agencies, and other school districts on request for public information about the Longmeadow Public Schools.16.Assist Records Access Officer (RAO) with Freedom of Information (FOI) Public Records requests.17.Prepare school department portion of Annual Town Report.18.Report regularly to the Superintendent on any developments or problems within the district requiring the Superintendents awareness or action and assist in the general administrative operations, as assigned.19.Maintain accurate filing system of various forms as well as categorical and Superintendents files. 20.Handle petty cash for the Superintendents Office.21.Prepare school calendar and participate in Calendar Committee to bring suggested school calendar forward for School Committee approval.22.Provide in-service training and orientation for appropriate support staff employees.23.Assist in the preparation of staffing reports, seniority reports, personnel notices and personnel action letters24.Process Ethics disclosures with Town Clerk as necessary25.Responsible for scheduling and coordinating meetings and special events including staff convocation.26.Responsible for the School Choice lottery process.27.Report School Choice Claim to DESE.28.Monitors and orders supplies for central office.29.Scheduling meetings and tasks for the Superintendent.30.Respond to incoming phone calls and routing to the appropriate staff member.31.Coordinate travel and conference arrangements for the Superintendent and School Committee32.Provide clerical support to the Office of Student and Family Support as directed by the Superintendent.33.Perform any other duties and responsibilities as may be assigned.SUPERVISORY RESPONSIBILITIES: Staff persons designated by the SuperintendentTERMS OF EMPLOYMENT: Full-year position - 7.5 hours/day, 5 days/week, 37.5 hours/week
