Job Summary
We are seeking a highly organized and detail-oriented Secretary to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. The Secretary will act as a point of contact for internal and external clients, ensuring a professional and welcoming environment.
Duties
- Manage and maintain executives’ schedules, including calendar management and appointment bookings.
- Answer phone calls and respond to inquiries with professionalism and courtesy, demonstrating excellent phone etiquette.
- Provide customer support by addressing client needs and directing them to appropriate resources.
- Perform clerical duties such as filing documents, data entry, and maintaining organized office records.
- Assist with bookkeeping tasks using QuickBooks, ensuring accurate financial records are kept.
- Prepare correspondence, reports, and presentations as required.
- Support medical reception functions if applicable, including patient scheduling and managing medical records.
- Collaborate with team members to enhance office efficiency and workflow.
Qualifications
- Bilingual proficiency is preferred but not mandatory.
- Strong computer literacy with experience in Microsoft Office Suite (Word, Excel, PowerPoint) and QuickBooks.
- Previous experience in a customer support or administrative role is highly desirable.
- Familiarity with medical receptionist duties is a plus for candidates applying in healthcare settings.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Strong attention to detail and accuracy in all work performed.
- Ability to work independently as well as part of a team in a fast-paced environment.
