What are the responsibilities and job description for the Temporary Administrative Assistant position at Los Angeles County Fair Association?
Under general supervision, the Administrative Assistant performs a broad range of clerical responsibilities in support of the Events Department. Reporting directly to the Senior Events Manager. Assistant supports the flow, organization and quality of the administrative function, archiving department data, Event Files, Work Orders , Purchase Orders , Assisting on creating cover sheets, Additional Billing and all other information related to the operation of the department.
PRINCIPAL DUTIES AND RESPONSIBILITIES
Answer telephones, relays messages, and schedule appointments.
Distributes mail within the department.
Assist in closing out event files monthly.
Assist in creating work orders for all fair time activities
Program, distribute, Keys for building offices for events
Supports events department meetings by overseeing the calendar, distributing agenda and responsible for meeting minutes.
Maintains data, scans and is responsible for compliant records retention.
Monitors all office supplies and recorders on an as needed basis.
Enters and Tracks Department purchase orders.
Enters and track department inter-department work orders.
Other duties as assigned.
SKILLS, KNOWLEDGE AND ABILITIES
Must be experienced in dealing with the public.
Must be proficient in Office 365, not limited to Teams, Word, Excel and PowerPoint
Must be able to type and operate a 10-key by touch.
Must be well organized.
Must be able to multi-task.
Must be able to communicate effective, both orally and written
PHYSICAL REQUIREMENTS OF JOB
Must have reliable transportation.
Must be able to move around the fairgrounds with ease.
Must be able to lift at least 15 lbs.
Must be able to distribute mail.
Must be able to input and retrieve data using a computer.
Must be able to work a flexible schedule if needed.
Must be able to work in extreme weather conditions, such as heat, rain, and cold
