About the Company:
Red Cow is a family of commercial property owners and managers offering creative maintenance and improvement solutions. Our "Bundled Companies" strategy creates an efficient platform for procuring recurring services, property maintenance, asphalt and concrete repair, landscaping, and general contracting.

General Function
  • Record keeping, data entry, copying, filing, and scanning of all backup documentation
  • Set up and maintain the administration of a GPS-tracking system
  • Process all maintenance transactions for all units, including company vehicles and other courtesy requests
  • Invoice reconciliation of work orders and delivery of invoices to the accounts payable department
  • Research and gathering of all necessary receipts for monthly credit card reconciliation
  • Work closely with the Accounting Department to process invoices, payments, receipts, returns, receivables
  • Place orders for office supplies, office water, waste pick up, and parts for mechanics
  • Maintain relationships with all Mechanics and Company Employees, focusing on maintaining the family-oriented company culture

Fleet Maintenance
  • Monitor, update, and maintain our Maintenance Management Programs
  • Monitor monthly Fleet Inspections, communicate with Fleet Manager report needs for services, i.e., oil changes, windshield repairs, tires
  • Schedule all Fleet Maintenance transactions with employees when applicable
  • Work closely with the Accounting Department to process and update vehicle purchases, user changes, department changes, and provide and receive vehicle information
  • Monitor and update monthly vehicle mileage, report to the VP, and Accounting Department
  • Process work orders, which include scheduling and ordering of parts
  • Process Fleet Registration- includes processing DMV invoices, properly ensuring all Fleet registration has been paid and received in a timely time, coordinating the distribution of Registration and Insurance
  • Process and order Yard Fleet Fuel, and record the allocation of vehicle fuel
  • Tracking parts inventory, maintaining inventory quantities
  • Troubleshoot and resolve any challenges that may occur with products/services in collaboration with the Fleet Services Manager
  • Communicate with all third-party vendors in relationship building
  • Additional projects and/or duties as assigned by the Fleet Services Manager, Fleet Services Supervisor or the Fleet Accounting Department
  • Maintain cleanliness of bathroom, trash, uniforms, etc.
  • Sign off on package deliveries

Requirements
The Ideal Candidate has:

  • 2 years of prior experience working in the car or fleet leasing, maintenance, repair, or sales industry, and general familiarity and understanding of vehicle maintenance and parts terminology
  • Excellent organizational skills and strong attention to detail
  • Willingness to learn and grow as an individual as the Company expands and grows
  • Present new ideas to enhance Fleet Department efficiency and reliability
  • Flexible attitude with time and tasks
  • Ability to prioritize work and multitask
  • Ability to effectively communicate with a wide range of Company contacts from field employees to the executive level, both verbally and in written format
  • Computer Skills: Microsoft Word, Microsoft Excel, Internet, Outlook
  • A pleasant and professional demeanor
  • Ability to work as part of a team while accomplishing Department and Company goals
  • Self-motivated individual with and ability to work independently with little direction
  • Skilled in decision making and problem solving
