Position Overview
The Client Service Associate plays a key role in maintaining strong client relationships and ensuring operational excellence across the advisory team. This person will be the primary point of contact for day-to-day client needs, supporting onboarding, account maintenance, and ongoing client engagement.
Key Responsibilities
Client Relationship Support
- Serve as a key point of contact for client inquiries, ensuring timely and professional responses
- Assist with onboarding new clients, including documentation, account setup, and coordination with custodians
- Maintain proactive communication with clients to ensure high service satisfaction and engagement
Operational & Administrative Support
- Prepare and process account paperwork, transfers, distributions, and service requests
- Maintain accurate and organized client records within CRM and document management systems
- Schedule and coordinate client meetings, preparing agendas, materials, and follow-up items
- Support advisors by tracking deliverables, deadlines, and follow-through on client needs
Team Collaboration & Workflow Optimization
- Collaborate with advisors, planners, and operations team members to ensure seamless client experiences
- Ensure adherence to firm policies, procedures, and compliance standards
- Identify and suggest improvements to enhance client service and internal efficiency
Qualifications
- 2–5 years of experience in client service or operations within financial services
- Bachelor’s degree preferred (Finance, Business, or related field a plus)
- Excellent communication and interpersonal skills
- Highly organized with strong attention to detail
- Comfortable using Microsoft Office and CRM platforms
- Ability to manage multiple priorities and deadlines with precision
- Strong team orientation and a client-first mindset
