Key Responsibilities:
✅ Administrative Support & Task Management
- Manage and prioritize the Director’s email inbox, ensuring prompt and professional responses.
- Handle incoming calls, screen inquiries, and manage communications
- Prepare reports, draft correspondence, and maintain confidential records.
- Assist with special projects and process improvement initiatives as needed.
✅ Schedule & Calendar Management
- Maintain and coordinate the Director's calendar, scheduling appointments, meetings, and events.
- Anticipate scheduling conflicts and proactively find solutions.
- Ensure the CEO is always prepared with relevant materials and information.
✅ Sales Lead & Client Relations
- Handle initial sales lead calls with professionalism and confidence.
- Provide information to potential clients and set up follow-up meetings as needed.
- Ensure a seamless client onboarding process.
✅ Property Onboarding & Coordination
- Manage and streamline the onboarding of new properties for our property management portfolio.
- Coordinate with property owners, vendors, and internal teams to ensure a smooth transition.
- Track documentation, contracts, and compliance requirements.
✅ Reliability, Trust & Confidentiality
- Serve as the right-hand person to the executive team, handling sensitive information with discretion.
- Ensure all tasks are completed with accuracy and efficiency.
- Be a proactive problem solver, anticipating needs before they arise.
