Position Summary

Directs the operations of the Organ Placement and Utilization department. Responsible forproviding administrative oversight of all organ placement activities including organ allocationfor transplant and research, coordination of recovery logistics and transportation. Directsallocation efforts in pursuit of maximizing the number of organs transplanted from everyauthorized case. Ensures compliance with all regulatory agencies for organ recovery. Servesas a liaison to transplant centers for organ procurement activities within and outside thedonation service area. Supports and fosters the mission of the organization and its commitment to organ, eye and tissue donation.


Essential Functions

  • Acts as a staff resource for problem solving and administrative questions related to organ allocation efforts, recovery logistics and transportation.
  • Serves as a main point of contact and organ placement expert to ensure compliance with regulations and LOPA policies.
  • Serves as a liaison to transplant centers for organ procurement activities within and outside the donation service area. Develops local, regional and national transplant center relationships, through in person meetings and data feedback leading to partnerships and innovation to facilitate an increase in organs transplanted and recovered for research.
  • Manages staff actions related to organ allocation, logistics, and transportation to assure adherence to LOPA’s policies and work instructions.
  • Guides the Organ Placement and Utilization department towards accomplishing the organization’s mission and goals by providing leadership, resources and direction.
  • Coach, mentor, support, and motivate the department staffing in overseeing the day to-day operations of LOPA’s organ allocation, recovery logistics and transportation in a manner that is consistent with LOPA’s Core Purpose and Core Values
  • Recommends and implements revisions in organ allocation, recovery logistics and transportation work instructions to continually improve quality and effectiveness of the processes.
  • Works closely with the Quality department to facilitate chart clearance.
  • Responsible for the timely and accurate submission of required regulatory agency reporting, such as, DNRs, Feedbacks, and PTRs.
  • Shares best practices with the entire Operations team to make organ allocation and organ recovery logistics as effective as possible and to maintain the very highest quality standards.
  • Works with the Business Informatics team to identify reporting opportunities to identify organ placement trends with organ offers, organ acceptances, organ declines and outcomes, to ensure all transplantable organs are maximized for placement.
  • Evaluates performance of direct reports on a scheduled basis (as defined by HR) and provides appropriate feedback.
  • Ensures employee compliance with all HR policies and procedures.
  • Works with HR in the development, growth and performance management of assigned staff.
  • Coaches/councils assigned employees as needed.
  • Utilizes available data to assess employee performance.
  • Establishes and communicates job responsibilities and performance expectations to assure mutual understanding of desired results.
  • Works with department managers and HR in the recruitment, interviewing and selection of applicants for department, including job description development and maintenance.
  • Participates as a member of the Leadership Team at LOPA in developing and achieving Performance Goals for the organization.
  • Attends all medical board and administrative meetings as required.

  • Participates in monthly leadership meetings, as requested.

Supervisory or Advanced Responsibilities

Supervision of direct reports per Org Chart.


Role Progression

This role may be eligible for progression to an Executive position if one is made available. Promotion to Executive will be at the discretion of the Executive team.


Work Environment

  • Possible exposure to communicable diseases, bloodborne pathogens, airborne illnesses, hazardous materials, pharmacological agents with little likelihood of harm if established health precautions are followed.
  • May, at times, have exposure to blood, packaged organs and tissues for transplant and/or research in a hospital setting or while in the office.
  • Possible mental and visual fatigue associated with detailed work.
  • This position requires travel, as needed.

Physical Demands

  • May require extended periods of sitting
  • Ability to communicate with others verbally and electronically to exchange information
  • May require work that includes moving or lifting objects up to 50 pounds
  • Requires driving and/or flying when travel is needed

Work Hours

Full time, salaried position. Typical work hours are Monday-Friday 8:30am to 5:00pm with flex time available at the discretion of the direct supervisor. The role involves occasional site visits to LOPA’s facilities for oversight and planning purposes.


Education and Experience

  • Bachelor’s degree (B.S.N.) from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience. Advanced degree preference. Organ procurement management experience preferred.

Knowledge, Skills & Abilities

  • Ability to effectively manage people and processes.
  • Ability to read, write, and comprehend instructions, with advanced skills in email and word processing.
  • Working knowledge of Microsoft Office and Google Suite software.
  • Proven ability to develop and execute strategic IT and facilities management plans.
  • Strong knowledge of cybersecurity and regulatory compliance in IT systems.
  • Experience in vendor management and cost optimization for facilities and IT services.
  • Ability to effectively present information in one-on-one and small group situations.
  • Excellent verbal and written communication and interpersonal skills, an ability to listen to and balance, negotiate and work with a variety of internal and external stakeholders.
  • Ability to think critically to solve problems.
  • Highly organized, detail-oriented, reliable and flexible; thrives in a fast-paced environment; a driving force who manages toward clarity, finds solutions and is able to think strategically.
