POSITION SUMMARY

The Office Manager will support the Corporate Office and the TEAM that operates from that office.


RESPONSIBILITIES/DUTIES

  • Manage Online Website Requests
  • Answer Main Phone Line, Manage Voice Mail and Phone Messaging
  • Administer Parking and Door Fobs
  • Manage the Digital Messaging on Office Screens
  • Greet Visitors
  • Manage Office Supplies
  • Front Desk Coverage for Corporate Office
  • Safety Support for Corporate Office (Fire Drills, Fire Extinguishers)
  • Vendor Management for Corporate Office (includes pest service, cleaning, copier and shred services)
  • Plant Care for Corporate Office
  • Facilities Security Administration / Maintain Alarm Permits
  • Various Reports as Needed
  • Corporate Office Events
  • Assist with Various One Time Projects
  • Executive Calendar Management
  • Coordinate Travel Plans
  • Assist with Executive Meetings – Project Management as Needed
  • Manage IT Partner Relationship
  • Other Tasks as Assigned


Requirements

   

EDUCATION/ WORK EXPERIENCE

The Office Manager should have a minimum of 3 years of experience related to Office Administration. This individual must possess excellent written and verbal communication skills, command attention to detail, and seamlessly handle a variety of tasks as assigned. 


CAPABILITIES/SKILLS

Proficiency with a variety of computer software applications in word processing, spreadsheets, database and presentation software

  • Pleasant and Cheerful Personality
  • Ability to collaborate effectively with vendors and internal customers
  • Skill in managing multiple priorities and completing tasks in an efficient and accurate manner with limited supervision
  • Attention to Details
  • Ability to analyze information, to gather and summarize data for reports, find solutions to various administrative problems, and to prioritize work
  • Ability to communicate both orally and in writing with excellent writing, editing and proofreading skills
  • Strong Administrative Support skills
  • Ability to meet deadlines and manage time well
