The Loyola Notre Dame Library (LNDL) seeks an enthusiastic, forward thinking administrative services manager to lead the Library’s human resources, financial management, and facilities management functions while overseeing the day-to-day administrative operations in a highly collaborative and innovative organization. The Administrative Operations Manager, reporting to the Assistant Director, Research and Technology Services, will manage key financial, operational, facilities, and communications functions. They will also partner closely with relevant units on the campuses of Loyola University Maryland and Notre Dame of Maryland University, outside service providers, and library staff to ensure accurate business and financial management of the Library.
The successful candidate possesses excellent analytical and organizational skills, anticipates and adapts to change in the business environment, is customer service oriented, is an effective and proactive communicator, and is committed to operationalizing diversity, equity, and inclusion in their work. This position will supervise the Library’s Administrative Coordinator, enable effective administrative support for the Library’s Board of Trustees and related committees, and provide operations feedback to the senior leadership team as needed.

Position Responsibilities:
Manage, continuously improve, and oversee the day-to-day administrative operations of the Library including but not limited to the following:
Human Resources:
- Manage the recruitment and on-boarding of new employees.
- Support day-to-day operations in alignment with internal policies and in consultation with the Library’s HR consultant;
- Administer employee benefits programs in partnership with Notre Dame of Maryland University’s HR department and the Library’s HR and retirement services consultants;
- Complete compliance training with staff to promote adherence to internal policies and procedures and ensure compliance with city, state, and federal regulations;
- Utilize data and feedback to inform, drive change, and sustain standard practices while evolving the culture, policy, and procedures of the Library.
Financial Management:
- Support the Library’s accounting consultant in managing the budget lifecycle including budget planning and reporting, preparing for the auditors, supporting the Library’s Finance Committee, approving bill payments and payroll, and completing other banking tasks as assigned.
- Manage annual and multi-year insurance renewal processes with the Library’s insurance brokers to ensure timely and comprehensive coverage and oversee claim administration.
Facilities Management:
- Partner with Loyola University Maryland’s facilities department to oversee and coordinate day-to-day operational and capital projects for the Library’s building with vendors and campus staff;
- Prepare an annual building capital project list in collaboration with both universities’ facilities departments and in consultation with the Library’s accountant to identify priorities for the Library’s Board of Trustees and related committees;
- Work in partnership with Library units to communicate the status of ongoing projects and operations.
Additionally:
- Continuously monitor and improve administrative processes, provide oversight, and maintain calendars to anticipate rolling HR, financial, and facilities responsibilities;
- Supervise the Administrative Coordinator;
- Provide administrative support to the Library’s Board of Trustees and related committees;
- Provide strategic administrative operations feedback to the Library’s senior leadership team collaboratively;
- Engage in ongoing professional development activities.
Required Qualifications:
- Bachelor’s degree;
- 3 years minimum experience related to the position;
- Excellent analytical and organizational skills with the ability to anticipate change in the business environment and proactively adapt administrative operations;
- Demonstrated sound judgement in handling confidential matters;
- Demonstrated commitment to diversity, equity, and inclusion;
- Demonstrated effective oral, written, and interpersonal communication skills;
- Proven ability to take initiative, prioritize work to meet deadlines, manage projects, facilitate change, and work independently and collaboratively to thrive in a dynamic work environment;
- Proficiency with standard desktop tools and business applications;
- Demonstrated commitment to professional development.
Preferred Qualifications:
- Advanced degree related to the position;
- 2 years of higher education experience related to the position;
- 2 years of human resources, compliance, or operations experience;
- Supervisory experience leading, coaching, and developing full-time staff.
