Job Overview
We are seeking a highly organized and proactive Personal Assistant to provide comprehensive support to our executive team. The ideal candidate will possess exceptional administrative skills and a keen attention to detail, ensuring that all tasks are completed efficiently and effectively. This role requires a strong ability to manage multiple priorities while maintaining a high level of professionalism.
Responsibilities
- Manage and maintain executive calendars, including scheduling appointments and coordinating meetings.
- Perform data entry tasks accurately and in a timely manner.
- Provide executive administrative support by preparing reports, presentations, and correspondence.
- Handle office clerical duties such as filing, scanning, and organizing documents.
- Operate phone systems to manage incoming calls, take messages, and direct inquiries appropriately.
- Tasks include, but are not limited to: Process and manage paperwork for all transactions. Prepare pre-listing paperwork, manage listings once they have been signed, assist in marketing, and maintain and make any changes to this until listings are sold. Review listing and sales contracts for accuracy and audit file weekly. This includes following up on all details, outstanding items, and requests for all files. Follow-up and coordinate financing contingencies, appraisals, required repairs & special stipulations needing completion from contract to closing. Manage database entries - including mailing lists, birthdays, & home anniversary lists. Maintain all vendor & service provider files. Additional Duties as assigned.
- Maintain confidentiality of sensitive information while managing various tasks.
Skills
- Proven experience as a Personal Assistant or in a similar administrative role.
- Strong data entry skills with a high level of accuracy.
- Proficiency in executive administrative support functions.
- Familiarity with Outlook Calendar for effective scheduling and time management.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Competence in operating office equipment and phone systems.
- Basic knowledge of QuickBooks is preferred but not required.
- Strong clerical skills with attention to detail in all aspects of work.
- High computer literacy with proficiency in Canvas would be great.
