About the Role:
This role will support a wide variety of legal administrative and support/clerical duties for professional staff. Work performed will include a broad range of responsibilities involving legal and/or confidential information such as record-keeping (including scanning and filing using a variety of filing systems/platforms), support with corporate housekeeping and assistance with processing vendor bills.
The position entails working with all levels of internal staff across multiple offices and will also require communication with outside vendors/law firms.
This is an on-site, part-time internship in our office in East Brunswick, New Jersey, requiring approximately 10 to 15 hours of work each week. The hours are flexible but must be worked during our team’s core business hours, which are 8:30 am through 6 pm. Candidate availability on Tuesdays through Thursdays is strongly preferred.
The duration of this internship is expected to be 10 to 12 weeks.
Responsibilities
What you will do:
- Completes a diverse and sometimes complex array of filing, adhering to multiple filing systems (including, but not limited to, scanning, hard copy filing, updating electronic databases, and updating network folders)
- Assists in the review, organization and processing of a large volume of legal and vendor invoices
- Prepares spreadsheets and initiates other tracking/escalation procedures for unpaid and/or disputed invoices
- May assist with fielding internal requests for certain information; ability to field and prioritize requests using proper judgment
- Upkeep of corporate books and legal files
- Manages mail (USPS, FedEx, UPS, etc), including distributing incoming mail/packages, date stamp incoming documents, and prepare outgoing certified mail/packages
- May assist with timesheets and expense reports
- May assist in arranging conference calls/dial-ins
- May complete various ad hoc projects for team
- Additional duties and responsibilities as needed
Qualifications

- Are currently pursuing an associate or bachelor’s degree or a Paralegal Certificate from an ABA approved program is a plus
- Are punctual, reliable, and have excellent time management and organizational skills.

- Can interact in a professional, friendly, and client-focused manner with all levels of staff across multiple offices.
