We are seeking a Youth Services Data Support Specialist to manage and support data processes across various youth services programs, ensuring the accuracy, accessibility, and timeliness of data. This position will involve tracking and reporting on service delivery, managing student enrollments, and ensuring that all data is entered, updated, and reported properly. You will work closely with program and caseload managers, external stakeholders, and internal teams to support case management, track youth progress, and ensure compliance with all program requirements. 

Job Duties & Responsibilities
  • Assist with new service start dates, track enrollments, and support caseload transfers.
    Monitor youth progress in courses, track milestones, and report updates to caseload managers.
  • Ensure youth are enrolled in the appropriate curriculum and generate completion certificates.
  • Participate in monthly and quarterly meetings with external stakeholders to review cases and updates.
  • Accurately enter new student enrollments and service hours into Aware and other tracking systems.
  • Report VR services to external stakeholders and ensure compliance with deadlines.
  • Track referrals and approvals, ensuring follow-up actions are documented.
  • Verify service closeout, ensuring all documentation is complete and accurate.
  • Conduct audits to ensure compliance with program guidelines and assist with document uploads to external stakeholders.
  • Provide staff training on Podio/Sharefile for document management and case tracking.
  • Assist with caseload management, addressing paperwork questions, service updates, and enrollments.
  • Maintain regular communication with external stakeholders to ensure smooth processing of services and case updates.
  • Ensure timely reporting of services and maintain accurate records in Aware.
  • Track service milestones and assist in generating certificates upon completion.
  • Participate in process improvements to enhance data management practices.

Required Qualifications
  • Associate’s degree in a relevant field (or equivalent experience).
  • 1-3 years of experience in data entry or management.
  • Proficiency in data management systems (e.g., Aware, Podio, Sharefile).
  • Familiarity with data security protocols and confidentiality standards.
  • Strong communication and collaboration skills.
  • Attention to detail and ability to resolve data discrepancies.
  • Ability to manage multiple tasks and prioritize effectively.
  • Knowledge of regulatory compliance and data management best practices.
  • Problem-solving mindset and interest in process improvement.
