POSITION SUMMARY:
The Office Manager will coordinate and perform a diverse set of support tasks, managing administrative staff and assisting Executive Director with property management to ensure the organization have the resources necessary to operate smoothly and efficiently.
SUPERVISORY RESPONSIBILITIES:
- Supervision of administrative staff that are responsible for office administration.
- Organizes and oversees the schedules and work of administrative staff.
- Conducts and/or assists with performance evaluations that are timely and constructive.
- Assists with discipline and termination of employees as needed and in accordance with company policy.
DUTIES/RESPONSIBILITIES:
- Maintain effective communications with community members throughout the year by using direct contact, email, website, social media, newsletters/updates, and other forms as appropriate.
- Assists Executive Director with member’s orientations related to new members of the club, dwelling use and ownership, amenity use, rules, regulations, and policies.
- Assists the Executive Director in the development of plans, policies, and procedures designed to increase overall effectiveness and efficiency of Association’s operations.
- Assists the Executive Director and Facilities Manager with security, storage, administrative equipment and day-to-day operations of administrative functions.
- Supports other departments and staff.
- Assists Executive Director with creating budgets for supplies, equipment, and contract services.
- Helps the Executive Director identify opportunities for cost savings, better efficiency, or other improvements; recommends and implements policy or process changes as appropriate.
- Assists Executive Director and Facilities Manager with monitoring construction or renovation projects.
- Collaborates with Executive Director and staff to create functional and productive work and recreational spaces.
- Performs other related duties as assigned.
REQUIRED SKILLS/ABILITIES:
- Excellent communication and interpersonal skills.
- Ability to identify and solve problems and conduct cost-benefit analyses.
- Ability to solve basic math problems.
- Proficient in Microsoft Office Suite, QuickBooks, or similar software.
- Working knowledge of basic business and management principles, leadership skills, staff and resource coordination, accounting practices, and an understanding of general human resource modeling.
- Must be a self-starter, team player, reliable and have an eye for detail.
WORK ENVIRONMENT AND PHYSICAL DEMANDS:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- Ability to navigate various departments and locations of the company.
- Valid driver’s license.
EDUCATION AND EXPERIENCE:
- Three to five years of related experience and/or bachelor’s degree in a related field.
