What are the responsibilities and job description for the Event Manager (FT) position at Lua Brewing?
Overview:
Responsible for organizing and coordinating events for HYFR Hospitality Group (Lua Brewing and Either/Or Eatery and Patio at present). This can range from private events and buyouts, to beer and/or wine dinners, or large scale events (i.e. yearly fest at Lua), as well as conception and execution of community events at Either/Or, and any other events the GM deems organized by the event manager. Attend weekly L10, quarterly, and annual meetings.
Operational Responsibilities:
- Operate from the HYFR Core Values.
- Deliver exceptional customer service.
- Effectively gather and organize information about a client's objectives, budget, expectations, and preferences.
- Provide advice about food and beverage menus, décor, AV, and entertainment.
- Create schedules, processes, and checklists of all activities and to-dos for staff to follow and execute events successfully.
- Delegate tasks effectively.
- Through planning and communication with team members leading and running events for the culinary department, and providing them with accurate and thorough BEOs.
- Communicating clearly and coordinating with all outside vendors and suppliers before, during and after the event.
- Managing logistics of rentals and any other outside items coming in and out. Making sure they are picked up and returned on time and are taken care of while in our hands.
- Quick problem-solving, and remain calm under pressure, especially on the day of the event to ensure everything goes smoothly.
- Overseeing and managing servers, bartenders, and kitchen staff working the event.
- Keeping accurate and up to date tip sheets for the events and relaying all information to GM.
Administrative Responsibilities:
- Coordinate the actions of multiple parties in an organized manner.
- Computer skills for using the event management software (Tripleseat), word processors, spreadsheets, and email.
- Basic accounting skills to track spending and stick to the budgets.
- Managing the budget to ensure costs are effective and the event doesn’t cost more than initial budget and if it does know exactly where additional costs were incurred.
- Ensuring events comply with insurance, health, and safety standards.
Job Requirements:
- Exceptional oral and written communication skills for dealing with clients, vendors, and staff.
- Creative thinking skills to design events that fit the vision of clients.
- Multitasking ability necessary to move from one task to another at a fast pace.
- Knowledge of risk management to identify potential legal liabilities and take steps to mitigate them.
- Self-starter who can manage own time effectively.
- Networking skills to build solid relationships with clients, vendors, and suppliers.
- Strong organizational and planning skills.

Experience:
- One to two years of experience.
Compensation:
- $45k tips and commission -OR- $20/hr on administrative days and $15/hr on event day tips and commission.

- General Managers at each location.
