What are the responsibilities and job description for the Fleet Coordinator position at Lufkin US Acquisition Company LLC?
The Fleet Coordinator will support the Fleet Manager in providing fleet management support to drivers, supervisors, managers & directors responsible for Fleet Operations. This role will require occasional time for traveling to assist and support locations where fleet vehicles are assigned.
Responsibilities
- System level management including Employee credentials, vehicle details, billing and data accuracy for Fleet support platforms.

- Data management to identify Lufkin business priorities for fleet and support Operations decision making. For example, Monthly Mileage reporting, Motive usage, reports from Element.
- Provide training for drivers and supervisors using Fleet support platforms.
- IFTA Quarterly Reporting for Surface Apportioned Units
- Maintain Surface IRP Account (Apportioned plates/Cab Cards) including adding units, ordering replacement plates, etc.
- Clearinghouse Pre-Employment runs for new CDL Drivers (federal compliance requirement)
- Maintain Driver and Vehicle Master lists for Insurance Company (must submit yearly for renewal and MVR runs)
- Heavy Highway Taxes Processing to IRS (Yearly in July, As needed if any heavy vehicles are added to fleet)
- MSC 150 Reporting (Bi-annual update or fleet size changes)
- UCR Reporting (Unified Carrier Reporting)- Annual report with heavy vehicles (tied with MSC150 reporting as well)
- Assess Fleet Data and help identify Utilization and possibly right sizing (Lead All of the CA adjustments throughout all business changes)
- Coordinate all Documents/titles, Asset disposal forms and valuations for all vehicle disposals
- Coordinate all Vehicle transfers, title changes, registrations for NAM
- Manage & Maintain Maintenance Software (Emaintenance), general support for anything needed- Both mechanics shops & Claremore Manufacturing facility
- Manage & Maintain JJ Keller Driver Qualification files- General support for all NAM issues or training, users
- General support for DOT questions/understanding
- Technical support for Hours of Service (HOS) violations, APP updates, Disconnect report for Motive devices, etc.
- Additional Local Level Duties:
- Maintain Fleet Availability & Repairs- what’s out, what needs repair, what’s down
- Manage Repair Approvals
- Contact vendors to schedule maintenance and repairs
- Daily vehicle inspection reports for repairs needed to maintain vehicles
- Vehicle registration renewals/Cab Cards
Requirements
- High school diploma or equivalent; post-secondary education in logistics or fleet management a plus
- 2 years of experience in a coordination or dispatch role in oil & gas, transportation, or field services
- Familiarity with DOT, FMCSA, and HSE compliance standards
- Working knowledge of fleet or asset management software
- Strong attention to detail and communication skills
- Willingness to work in a fast-paced or field-based environment
