Job Summary
The Payroll Administrator is responsible for all elements of timely preparation and accurate processing of Lulus' payroll. The position includes the coordination and processing of retroactive payments, benefits deductions, compensation changes, bonuses, and applicable tax withholdings. The Payroll Administrator role implements payroll initiatives and projects that require strong technical and communication skills and the ability to simultaneously manage tasks to meet company standards and deadlines. This role is a subject matter expert for all Lulus' locations payroll matters, providing knowledge and expertise on complex issues following established policy and legal requirements. This Payroll Administrator will partner with various departments, including Accounting, Human Resources, and the broader management team, to meet expectations.
This hybrid position is based out of our Chico, CA Office, with in-office one day a week.
What You’ll Do
Execute the processing of bi-weekly payroll for 500 employees in a timely and accurate manner
Process supplemental payroll and any out-of-sequence checks such as separations and corrections
Audit timecards for accuracy and approvals and resolve timecard issues promptly
Manage setup and maintenance of employee time off programs, including company holidays
Administer the company cell phone and internet reimbursement programs
Ensure employee data accuracy for annual tax statements and manage the distribution of W2s
Review quarterly/annual payroll tax reports and W2s
Ensure all local, state, and federal government requirements are met, such as taxes and withholdings, including accurate tax setup for new jurisdictions
Act as a final approver on Personnel Action Forms to ensure the accuracy of payroll-related changes
Respond to employment verification requests
Implement new regulations and policies and changes to benefits as applicable to payroll
Assist in the management of Paycom employee portal as it pertains to payroll, withholdings, and annual statements
Work closely with all departments to ensure accuracy in employee pay and related reporting
Recommend and implement efficiencies to improve payroll processing and employee satisfaction
Administer setup of pay classes, pay, and deduction codes as necessary
Ensure data integrity in time records, pay rates, withholdings, internal financial, and external third-party reporting
Respond to auditors' requests related to payroll and assist with annual financial, Workers Comp, and 401K audits
Report on payroll and headcount data as it relates to milestone achievement under applicable tax credits
Respond timely to payroll requests and resolve employee issues, including wage garnishments and other withholding issues
Identify and implement process modifications based on changes in rules, regulations, emerging issues, and trends
Update and revise policies and procedures related to payroll processing as needed
What You’ll Need
Bachelor's degree in a related field or equivalent combination of education and experience
5 years of experience processing multi-state payrolls with 2 years owning the payrolling process
Member of the American Payroll Association and credentialed as a Certified Payroll Professional or willing to become credentialed within one year of beginning the position
Excellent skills in MS Office with high proficiency in Excel, Google Suite
Strong verbal and written communication skills, including the ability to clearly and effectively communicate information to internal and external audiences
Strong sense of urgency and ability to handle a high volume of data with confidentiality, accuracy, and discretion
Strong knowledge of taxation as well as deep knowledge of compliance and legal requirements
Hands-on experience working in time and attendance and HR systems
