Job Summary :
This is a critical role responsible for ensuring compliance, identifying, and mitigating risk, and driving operational efficiency within our organization's contract management processes. This position is responsible for monitoring the quality around each phase in the management of contracts, assessing the effectiveness of contract management practices, identifying potential risks, and providing recommendations for improvement. This role requires strong analytical skills, attention to detail, and a thorough understanding of contract management principles and regulations.
Job Description :
The CA Quality Supervisor will have to perform some / a combination of the duties listed below.
Contract Monitoring and Compliance :
- Develop monitoring plans and strategies to streamline contract management processes.
- Develop guidelines and procedures to accomplish the goals and expectations intended for the position.
- Analyze contract data to identify compliance risks and recommend improvements to enhance contract management procedures.
- Perform monitoring activities such as reviewing documents, conducting interviews, and testing to assess compliance with contractual terms, legal requirements, and internal policies.
- Monitoring and tracking invoice related data to ensure accuracy, integrity, and compliance with contract terms while preventing contract overspending.
- Review of executed and / or draft Task / Work Orders and Change Orders to validate that such documents are aligned with the agreed terms and conditions in the contract.
- Review the contract's financial data from initiation to close-out including, but not limited to, reconciling paid and accrued invoices to reflect the actual amounts spent.
Risk Assessment and Analysis :
Analyze contract data to identify trends, potential risks, and opportunities for improvement within the contract management lifecycle.Conduct compliance assessments to ensure that contract parties adhere to contractual obligations.Conduct in-depth analysis of financial data to identify potential risks and mitigating strategies. Evaluate the adequacy of risk mitigation measures and internal controls.May coordinate with internal and external auditors to facilitate audits and analyze audit findings to determine the root causes of deficiencies and areas for improvement.Collaborate with Contract Owner, Contract Administrator, and other stakeholders to develop risk mitigation strategies and address identified risks.Implement risk controls and monitoring tools to strengthen contract management.Compliance Oversight :
Ensure adherence to relevant laws, regulations, and industry standards governing contract management activities.Stay informed of changes in local and federal laws and regulations and recommend improvements to contract management policies and procedures.Monitor changes in regulatory requirements and assess their impact on contract management processes.Provide guidance and support to contract managers and stakeholders on compliance matters.Reporting and Communication :
Maintain accurate reports documenting findings, recommendations, and corrective actions.Communicate risk findings and recommendations to management and key stakeholders, highlighting areas of concern and opportunities for enhancement.Collaborate with cross-functional teams to implement corrective actions and process improvements.Prepare regular reports and analysis on invoice processing metrics, trends, and compliance issues for management review.Continuous Improvement :
Propose initiatives to enhance efficiency, effectiveness, and transparency in contract management.Stay abreast of industry best practices and emerging trends in contract management and monitoring.Perform major storm restoration work and associated drills as assigned or needed.Follow all policies and procedures.Other duties as assigned.Additional Job Description :
Education and Experience :
Bachelor's degree in Accounting, Business Administration, Law, or a related field from an accredited university.5 years of experience in contract management, finance, monitoring, auditing, or related field.Strong knowledge of contract law, finance, regulatory compliance, and risk management principles.Knowledge of Federal Laws and Regulations.Proficiency in audit methodologies, tools, and techniques.Excellent analytical skills with the ability to interpret complex data and identify patterns and trends.Effective communication skills, both verbal and written, with the ability to present findings and recommendations to diverse audiences.Detail-oriented mindset with a focus on accuracy and precision.Ability to work independently and collaboratively in a fast-paced environment.Proficient in MS Office Suite - Word, Excel, PowerPoint and OutlookExperience with FEMA a plus.Fluent in in Spanish and English with the ability to read, write and speak.Ability to make impartial judgements and decisions.Licenses / Certifications :
