Luminize Marketing is looking for a highly organized, proactive Office Administrator to support our Leadership Team and keep our operations on point. From scheduling and travel planning to event coordination and marketing support, you’ll play a vital role in helping us grow and thrive.

- Own the calendar: Schedule and prioritize meetings for the Leadership Team
- Handle travel logistics: Book flights, hotels, and transportation like a pro
- Prep & polish documents: Create and proof materials for internal and external use
- Keep us on track: Manage expenses, process checks, and help with reconciliation
- Task management: Use tools like Asana to keep workflows organized and deadlines met
- Handle sensitive info with discretion and professionalism
- Be the hub: Act as a point of contact for the Leadership Team and broader stakeholders
- Coordinate cross-functional tasks and projects in Asana
- Help plan and execute events: Coordinate schedules, sponsor comms, invites, and attendees
- Support light marketing tasks, especially around event planning and execution
- Manage brand/client visits: Set up spaces, order lunch, and create a welcoming environment
- Keep the office stocked: Order supplies and track inventory
- Monitor device/equipment usage and notify Leadership when it’s time to reorder
- 2–3 years in an administrative or office support role
- A master organizer with a love for details and time management
- Strong communicator with excellent interpersonal skills
- Proficiency in Google Workspace, Microsoft Office, and tools like Asana
- Experience with event planning and managing logistics
- Comfortable handling sensitive information with the highest level of discretion
- Bonus points for familiarity with social media or content scheduling tools!
