We are seeking a dedicated and detail-oriented individual to join our team as an Executive Assistant and Data Entry Specialist. This role involves managing front desk activities and performing data entry tasks efficiently and accurately.
Responsibilities:
- Greet clients and visitors with a professional and friendly demeanor.
- Answer and direct phone calls to appropriate personnel.
- Maintain a clean and organized reception area.
- Handle incoming and outgoing mail and packages.
- Assist with general administrative tasks as needed.
- Perform data entry tasks with precision and speed.
- Enter and update information into databases and spreadsheets.
- Verify accuracy of data and make necessary corrections.
- Enter and update project-related data accurately and efficiently into the designated software systems.
- Maintain and update accounts payable and accounts receivable records with a high level of accuracy.
- Ensure timely and accurate processing of invoices, payments, and financial transactions.
- Assist in reconciling discrepancies in financial records and project data.
- Generate reports and summaries based on project and financial data as required.
- Support project managers and finance team in organizing and maintaining project and financial documentation.
- Adhere to data entry procedures and policies to maintain data integrity and security.
- Collaborate with team members to ensure smooth and efficient data flow across departments.
- Identify and propose process improvements to enhance data entry efficiency and accuracy.
Requirements:
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to multitask and prioritize tasks effectively.
- Previous experience in a receptionist or data entry role is preferred.
- Proficiency in data entry and management software/tools.
- Strong attention to detail and accuracy in data entry and financial record-keeping.
- Excellent organizational and time management skills to handle multiple tasks effectively.
- Understanding of basic accounting principles and financial processes.
- Ability to work both independently and collaboratively in a team environment.
- Strong communication skills to interact with various stakeholders.
- High school diploma or equivalent qualification – OR - Bachelor’s degree in finance, accounting, business administration, or related field preferred
