Position Summary

Duties & Responsibilities
ESSENTIAL JOB FUNCTIONS
- Maintains office budget and travel.
- Prepares and submits invoices for payment.
- Performs a wide variety of complex and confidential administrative/office support for the Executive.
- Keeps the Executive advised on weekly schedule, incoming calls, and facilitates decision for the work flow through the department.
- Prepares reports, letters, and proposals; collects data; assists with presentations, and drafts correspondence as delegated.
- Maintains confidentiality as part of being a member of an administrative office.
- Collects documents requiring the Executive and checks for accuracy as needed
- Takes notes as required and assists the Executive Administrative Assistant to the President as needed.
- Performs other duties as assigned.
- Knowledge of principles and practices of office administration
- Proficient in keyboarding/typing speed and accuracy
- Proficient in various computer software applications including Microsoft Suite
- Proficient in English composition, grammar and punctuation
- Ability to compose letters and preparing a variety of reports
- Ability to prepare of statistical reports
- Ability to maintain confidentiality
- Ability to multi-task.
- Ability to transcribe and take notes.
- Strong bookkeeping practices and procedures
- Ability to work with a diverse group of students, faculty, staff and the public
- Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. The worker sits most of the time.
- The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading and visual inspection.
- The worker is not substantially exposed to adverse environmental conditions.
- High School diploma or GED
- 3-5 years of administrative or executive support experience in a corporate or professional setting
- Strong verbal and written communication skills
- Proficiency in Microsoft Office Suite
- Ability to independently prioritize and execute multiple complex tasks and projects in a fast-paced, deadline-oriented environment
