We are seeking an experienced and dynamic Senior Project Manager for a long-term contract in Austin, TX (Hybrid work setting). This role will be leading the coordination and successful implementation of a new vendor platform and offers the opportunity to drive a key initiative in the public sector, working closely with multiple stakeholders, third party vendors, and internal leadership to ensure a seamless onboarding experience. The ideal candidate will have a strong background in project management, stakeholder engagement, and technical coordination, with the ability to adapt to diverse systems and environments.
Key Responsibilities:
Vendor Coordination & Implementation:
- Serve as the primary liaison between the client and the vendor throughout the platform onboarding process.
- Collaborate with the vendor to ensure a structured, phased rollout across participating counties.
- Support the vendor in gathering requirements, troubleshooting issues, and refining processes for county onboarding.
Stakeholder Engagement:
- Foster clear communication and alignment of expectations with stakeholders.
- Identify and document key contacts, technical resources, and system capabilities.
- Conduct meetings, workshops, and regular status updates with stakeholders to track progress.
Technical Integration & Platform Interfacing:
- Assist stakeholders with integrating their systems with the new platform (including file uploads, configuration settings, and API usage).
- Understand and support various existing systems to ensure compatibility with the new platform.
- Work closely with technical teams to ensure data formats, transmission methods, and security protocols meet project requirements.
Project Coordination & Execution:
- Develop and maintain a detailed project plan, ensuring tasks, timelines, and milestones are met.
- Track and manage risks, escalating issues as needed to maintain project momentum.
- Oversee testing, training, and knowledge transfer activities for users.
Process Documentation & Reporting:
- Maintain thorough documentation of onboarding processes, workflows, and county-specific configurations.
- Provide regular reports to agency leadership on project status, risks, and key decisions.
- Capture lessons learned and ensure continuous improvement throughout the project.
Issue Resolution & Troubleshooting:
- Act as the liaison between stakeholders and the vendor to address onboarding challenges and technical issues.
- Facilitate troubleshooting sessions and document resolutions for recurring problems.
- Ensure compliance with the client 's IT security and data governance policies.
Change Management & Communication:
- Develop communication plans to keep stakeholders informed of project changes and expectations.
- Support stakeholders in adapting to new processes, ensuring minimal disruption to their operations.
- Provide training and reference materials to ensure successful platform adoption.
Minimum Requirements:
- 8 years of experience managing large-scale IT projects, preferably in government or public-sector settings.
- 8 years of experience leading complex projects involving multiple stakeholders and integration efforts.
- 8 years of experience developing and executing project plans, managing timelines, and mitigating risks.
- 8 years of experience coordinating with government entities and managing distributed teams.
- 5 years of experience conducting meetings, training sessions, and status updates with stakeholders at various levels.
- Familiarity with data exchange methods, including file uploads, APIs, and system integrations.
- Certification in Project Management (PMP or equivalent).
Preferred Qualifications:
- Experience working in complex multi-vendor or multi-team IT environments.
- Previous experience with public-sector IT projects, especially those involving large-scale system rollouts.
