Job Title: Office Manager

Job Summary:
We are seeking a highly organized and detail-oriented Office Manager to support our team's administrative needs. The successful candidate will be responsible for ensuring the smooth day-to-day operation of the office, providing exceptional customer service, and contributing to the overall success of the organization. This is an excellent opportunity for a motivated and proactive individual to take on a leadership role in our office.
Key Responsibilities:
  1. Administrative Support:
    • Provide administrative support to senior leadership and other departments as needed.
    • Maintain accurate and up-to-date records, files, and databases.
    • Manage office supplies, equipment, and services.
  2. Onboarding and Training:
    • Coordinate the onboarding process for new employees, including orientation, paperwork, and benefits enrollment.
    • Develop and maintain training materials and procedures to ensure new hires are familiar with company policies and procedures.
  3. Leadership Support:
    • Assist senior leadership in various administrative tasks, such as preparing reports, agendas, and other documents.
    • Provide input and recommendations on office operations, processes, and procedures.
  4. Billing and Receiving:
    • Manage the billing process, including generating invoices, tracking payments, and resolving any discrepancies.
    • Process payments, receipts, and other financial transactions.
  5. Collections and Follow-up:
    • Identify and follow up on past due invoices to ensure timely payment.
    • Communicate with clients to resolve any issues or disputes related to billing.
  6. General Office Manager Responsibilities:
    • Maintain a safe and healthy work environment by adhering to company policies, regulations, and procedures.
    • Manage the office calendar, schedule appointments, and coordinate meetings as needed.
    • Ensure compliance with company policies, laws, and regulations.
Requirements:
  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • 2-3 years of experience in an administrative role, preferably in a similar industry or environment.
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Suite; experience with other software applications an asset.
  • Strong attention to detail and ability to prioritize tasks effectively.
Working Conditions:
  • This is a full-time position, working 40 hours per week.
  • The office environment is fast-paced, but the pace can vary depending on project demands.
