Job Overview:
We are seeking an experienced Office Administrator to manage the day-to-day office administrative activities, act as the liaison between management and office staff, and support legal, finance, HR, and sales teams with various recurring tasks and ad hoc projects. This is an in-office position.
Key Responsibilities:
· Manages the day-to-day operations of the facility to ensure proper functioning of the office
· Order snacks, beverages, occasional lunches and office supplies for the office
· Ensure meeting rooms are ready when company hosts outside customers, guests or interviewees
· Liaison between the property management office and the employees, responsible for contacting property management office for any facility issues and sharing property management announcements with the office employees
· Oversee contract retention and filing system; assist legal team with implementing new contract management tool
· Handle mail and ship packages for the company
· Manage the guest sign-in log, ensuring all non-employees are signing in and out of the office
· Screen incoming telephone calls and route calls to the appropriate staff
· Assist with corporate events
· Assist finance team with order entry tasks (invoicing customers, collection follow-ups) and other projects
· Assist sales team with sending renewal quotes to customers
· Assist other departments with various ad-hoc projects and tasks
Qualifications:
· Bachelor's degree preferred with a continued interest in enhancing existing skills and obtaining new ones
· Prior administrative experience, preferred
· Have exceptional attention to detail and commitment to faultless execution on tasks
· Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint). Salesforce or Netsuite experience a bonus.
