Position Description

Position Title: Administrative Assistant to the Director of Curriculum and Instruction

Department: Curriculum and Instruction

Reports To: Director of Curriculum and Instruction

Summary:

  • Performs administrative assistant office work of a very complex and sensitive nature with responsibility for providing administrative support to the Director, assisting other District Office personnel, and carrying out delegated details independently.
  • Essential Duties and Responsibilities
  • Coordinates all meetings and activities for the Director, involving coordination of participants, room reservations, front desk notification, food and equipment.
  • Has considerable contact with division chairs, teachers, administrators, students, classified personnel, Board of Education members and administrators of other school districts.
  • Develops and maintains official files for Curriculum and Instruction and staff development, maintaining confidentiality as appropriate.
  • Makes/receives telephone calls, takes messages, routes calls for Director of Curriculum and Instruction; receives, distributes, and sends e-mail messages; greets visitors to office.
  • Opens/distributes all incoming correspondence as directed by the Director.
  • Assists in budget preparation and reporting for Curriculum and Instruction accounts.
  • Coordinates budget dissemination and payment records for all state and federal grants.
  • Reports CTEI and Perkins Grant expenditures per quarterly deadlines to DAOES Business Manager.
  • Processes purchase orders and monitors budgets and account balances for C & I Office and all grants managed by the Director, including management of asset tagging for grant compliance.
  • Coordinates all aspects of conference room, including serving as the gatekeeper for the scheduling of the conference room and providing the upkeep of supplies and materials for conference room,
  • Prepares and updates annual publication-ready copy of the Academic Program Guide with considerable contact with the Director of Curriculum and Instruction and division chairs.
  • Maintains the up-to-date electronic version of the Academic Program Guide posted at .
  • Arranges and coordinates details for all Institute Days, including submission of Regional Office of Education approval documentation.
  • Maintains records of LTHS professional development events that offer CPDUs and attendance for licensed staff.
  • Coordinates the notification, reporting and submission of materials to the State for all new waivers and the renewal of existing waivers.
  • Along with the Director of C & I and the Business Office, maintains the Staff Travel Reimbursement Guidelines.
  • Coordinates registration and travel arrangements for all grant funded conferences and workshops.
  • Coordinates booking, travel, and payment of professional learning consultants and speakers at the request of the Director.
  • Under the direction of the Director, prepares the annual school calendar for submission to the LTHS Board of Education and the Illinois State Board of Education, including the submission and update of the official calendar in IWAS.
  • Collates and completes analysis and reports for all curricula from initial change proposals, through the CSD Team review and recommendation to the Board of Education.
  • Collects and collates summer workshop requests from division chairs, determines salary information, requests payments to workshop participants, collects workshop reports, and prepares the Summer Workshop report for the LTHS Board of Education.
  • Assists the Director with correspondence to the LTHS Board of Education including the collation and dissemination of reports and supporting documentation for Board meeting packets.
  • Coordinates special projects as requested by The Director
  • Performs routine and special copying and desktop publishing projects.
  • Performs those tasks as assigned by the Director of Curriculum and Instruction.

D. Education and/or Experience:

  • High school graduate or equivalent. Secretarial/clerical experience required, excellent computer experience and records keeping skills required.

E. Language Skills:

  • Ability to read and interpret documents; ability to write routine reports and correspondence; and ability to communicate effectively with students, parents, administrators, staff and community.

F. Mathematical Skills:

  • Ability to add, subtract, multiply, and divide in all units of measure.

G. Reasoning Ability:

  • Ability to apply common sense understanding to carry out instructions furnished in written or oral form. Ability to deal with problems involving several concrete variables in standardized situations.

H. Other Skills and Abilities:

  • Personal Computer experience, including Google Suite, In Design, Word, Excel, PowerPoint, Outlook, and Adobe products. Ability to handle a multitude of responsibilities with minimal supervision. Ability to multi-task. Ability to develop an effective working relationship with administrators, faculty, support staff, students, parents and the school community. Ability to maintain confidentiality essential and to deal with situations calmly and effectively. Ability to perform duties with awareness of all District requirements and Board of Education policies.

The employee must lift and/or move up to 20 pounds, such as student files. Specific vision abilities required by this job include close vision, depth perception and the ability to adjust focus.
