Job Summary

The Payroll Specialist, under direct supervision of the Payroll Manager, is responsible for accurate and timely generation of weekly and bi-weekly payroll for exempt and non-exempt employees. They also assist in calculating and processing special checks, employment verification requests, garnishment and tax levy’s and handle general inquiries regarding payroll for their assigned business units. The Payroll Specialist will need to be thoroughly familiar with state and federal laws and regulations pertaining to payroll, as well as company policies and procedures. Must be proficient using ADP Workforce Now and Excel with being able to commute basic formulas for report(s) and spreadsheet creation. 


Duties/Responsibilities

  • Responsible for processing payroll and compiling payroll data to maintain accurate payroll records; auditing payroll information for accuracy; reconciling payroll deposits, tax withholdings, wage garnishments, child support orders, tax levies, and voluntary deductions; and troubleshooting and providing business unit user instruction and support. 
  • Reviews all employee online payroll entries to ensure that all hours have been properly and correctly recorded and that overtime and payroll exceptions, if applicable, have been approved. 
  • Processes 52 weekly, 26 bi-weekly payrolls and manual checks on a regular basis. Processes stop payment requests and issue replacement checks as needed. 
  • Process vacation and sick requests. Audits and maintains vacation and sick accrual balances. 
  • Participate in end-of-month closing and audits. Ensures accuracy of yearly W-2’s. 
  • Provide payroll information to Finance in a timely manner for recording and reconciliation of payroll and benefits. 
  • Administer HSA employee contributions by submitting funds to the carrier and W2s. 
  • Researches, reviews, and responds to all payroll related inquiries. Research, analyze, and resolve all discrepancies, reporting to management as needed. Communicate with teams to make necessary changes/updates to accounts. 
  • Remain in compliance with all legal and institutional requirements at all times. 
  • Assist in the development of standard reports for ongoing company needs. 
  • Develop and deliver system training and technical information to adult learners in person and remotely. 
  • Performs all other duties as assigned. 


Required Skills/Experience

  • 4 or more years’ experience working in payroll or similar role with ADP Workforce Now (WFN). 
  • Experience working in multi-state payroll is required and solid working knowledge of tax code. 
  • Background and experience in managing >600 non-exempt hourly employees.
  • 4-6 years’ experience with a comprehensive understanding of Payroll systems and reporting functions. 
  • Highly proficient with ADP payroll (Workforce Now) and experience with ADP implementation desirable.
  • Excellent computer skills, including ADP payroll software and Microsoft Office. Strong proficiency in systems and Excel reporting.
  • Hands-on experience in time and attendance, payroll process, and creating reports from ADP and HRIS. • Demonstrated understanding and application of wage & hour regulations compliance, maintain and expand knowledge and understanding of existing proposed federal, state and local wage and hour regulations. Evidence of strong principles and practices in Payroll/Taxes. 
  • Ability to adapt to a dynamic, changing work environment and work under strict deadlines. 
  • Must be process oriented and able to execute measurable, repeatable, compliant payroll processes.

  • Strong interpersonal and communication skills. Ability to interact with a wide range of people from diverse experiences and cultures. Expresses ideas and thoughts verbally; exhibits good listening and comprehension. Keeps others adequately informed; selects and uses appropriate communication methods. 
  • Exceptional ability to maintain the highest level of confidentiality.
  • Proven track record of reliability.


Working Conditions

  • In office, Monday - Friday.
  • Fast-paced office environment. 
  • Occasional pressure to produce under severe time constraints and deadlines. May be requested to work overtime and weekends from time to time.


Physical Requirements

  • While performing the duties of this Job, the employee is occasionally required to stand, walk, kneel, crouch, crawl, talk, hear, and use hands to handle/feel. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
