The Client Administration team provides the day-to-day recordkeeping for a wide variety of non-qualified executive benefit plans and related financing programs for corporate, bank, and credit union clients. The Plan Administrator I provides key support functions for this dynamic team and will be responsible for a range of duties to support efficient operations. In addition to the centralized tasks, the Plan Administrator I will manage an assigned group of clients and will be a main point of contact for plan sponsors and participants. They will also be accountable for producing key client reports and deliverables with the support of team members.
Responsibilities:
- Centralized Administrative Team Duties
- Life insurance death claim processing and management of death certificate requests, including associated monthly expense reports
- Process incoming and outgoing department mail, including documenting invoice payments
- Maintain records including databases, email distribution lists, data entry of client information, contract management, and gathering monthly cash value reports from our carrier partners
- Maintain client-facing websites by downloading and posting information updates
- Monitor client administration general inbox
- Fulfill information requests from our advisor partners
- Plan Administration Tasks
- Manage plan sponsor and participant requests through multiple modes of communication (email, phone, etc.), providing support for various requests such as benefit reporting, website navigation, plan enrollments, etc.
- Ensure high quality, prompt services for scheduled deliverables to meet customer expectations, including but not limited to: participant benefit statements, corporate benefit accounting reports, benefit plan distributions, FICA taxable income, imputed income, compliance reviews, policy cash values, and trust reconciliation
- Assist with plan enrollments, including plan materials, census uploads, enrollment meetings, participant communications
- Oversee life insurance policy administration and transaction processing, including analyzing insurance cash values for accuracy, cash value fund rebalancing, policy surrenders and exchanges, face amount changes, and death claims
- Regularly draft and deliver professional correspondence to clients, plan participants, insurance carriers, vendors, fund managers, Member Firm advisors, and internal teams
- Deliver expected quality control standards by auditing work, mitigating risks, and following process controls
- Assist with other special projects and duties as assigned
Qualifications:
- High school diploma or equivalent, Bachelor’s degree preferred
- 2 years of professional experience in a corporate environment
- Strong proficiency in MS Word, Excel, Outlook, and familiarity with Access and Mail merge preferred
- Experience in customer service, finance, accounting, or insurance a plus
- Excellent verbal and written communication skills with an eye for detail
- Highly organized and able to manage a variety of tasks and competing priorities
- Ability to quickly develop effective working relationships with internal and external stakeholders
- Flexibility and eagerness to pitch in and help wherever there is a need
Job Conditions & Environment:
- This position is based on-site at our offices in the Pearl District in Portland, OR with the flexibility to work one day per week remotely
- Normal office environment/desk assignment
- Extensive use of PC’s, computer terminal, display, keyboard, and mouse
- Extensive hands-on work with documents, spreadsheets, and other written documents
