The Opportunity

We are seeking a highly skilled Executive Assistant to provide comprehensive support to our CEO and President. This individual will play a key role in enhancing the effectiveness and visibility of the leadership team by managing a wide range of tasks with a high level of professionalism. The ideal candidate will be exceptionally organized, proactive, and capable of handling sensitive and confidential information with discretion. The Executive Assistant will serve as a trusted representative of the leadership team, liaising with clients, stakeholders, and internal teams, ensuring that all communications and engagements are handled with the utmost professionalism. A strong ability to prioritize tasks, manage complex schedules, and adapt to evolving business needs is essential. This role requires someone who can maintain a positive and dynamic work environment while providing seamless support to the CEO and President, anticipating their needs and contributing to the smooth operation of the organization.

 

How You Will Make an Impact

  • Provide comprehensive administrative support to our CEO and President, managing complex calendars, travel arrangements, and correspondence.
  • Act as a liaison between executives and internal/external stakeholders, demonstrating excellent communication and interpersonal skills.
  • Coordinate and organize high-level meetings, board meetings, and company events with meticulous attention to detail.
  • Partner with the Corporate Secretary on Board and Shareholder relations.
  • Prepare and edit executive presentations, reports, and other critical business documents.
  • Manage special projects and initiatives as assigned by the executive team.
  • Maintain confidentiality and exercise discretion in handling sensitive information and situations.
  • Anticipate the needs of executives and proactively offer solutions to potential challenges.

 

What You Will Need to Succeed

  • Bachelor's degree in Business Administration or related field preferred.
  • Minimum of 5 years of experience as an Executive Assistant or in a similar high-level administrative role.
  • Exceptional organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Advanced proficiency in Microsoft Office suite, particularly Outlook, Word, Excel, and PowerPoint.
  • Strong written and verbal communication skills, with the ability to interact effectively at all levels of the organization.
  • Demonstrated ability to exercise good judgment, show initiative, and maintain confidentiality.
  • Experience in the insurance or financial services industry is a plus.
  • Flexibility to work extended hours when necessary.
