Job Responsibilities

  • Learns, follows, and enforces all policies and procedures of the after school program, all applicable school policies and
  • procedures, and all applicable child care licensing requirements and ensures all affected persons (staff, students, parents,
  • volunteers, etc.) know and understand these policies and procedures.
  • After School Program Coordinators are required to work at Hardin Park / Parkway during operation of the holiday/snow day
  • program when schools close. This requires having an adequate car and be willing to drive in inclement weather
  • conditions.
  • When corresponding with the children, speak with them face to face, treat them with respect, listen to what they say, children should feel welcome and comfortable.
  • Supervises Itinerant Program Coordinators, group leaders and volunteers to ensure active supervision of students, good
  • implementation of activities, and a safe, healthy, well organized program. Ensures safe and appropriate student behavior.
  • Directly performs duties of group leaders as circumstances require. Assists in timesheets and makes sure staff works only the allotted time for the position, provides orientation
  • for new staff as needed, conducts performance evaluations of group leaders and other on-site staff.
  • Plans, reports and implements activities for the after school program.
  • Ensures accurate and timely reporting of attendance and activities.
  • You are required by licensing law to report all accidents/incidents requiring a doctor’s care to the Assistant After School Director
  • within 24 hours. Also report any accident or incident in which you feel a parent may contact a supervisor or principal. In any situation in which you are unsure, contact the Assistant After School Director to seek advice.
  • Advises supervisor of issues, concerns, and suggested improvements in the after school program.
  • Purchases snacks, equipment and first aid supplies as needed, ensures efficient and appropriate use of supplies, snacks,
  • staff and equipment.
  • Establishes and maintains good communications and good working relationships with students, parents, Central Office
  • staff, the school principal and other school staff, group leaders, and volunteers. 
  • Keeps parents / guardians informed through procare, email, or newsletters.
  • Creates and distributes a quarterly newsletter for parents according to SACERS standards. (Never surprise
  • a principal with unannounced field trips or other special activities that change the way you use his/her school!)
  • Presents after school information at Kindergarten Orientation(s) and other parent events for their school.
  • Registers students for the program including providing a class to go over the “Parent Policy and Information Handbook”,
  • giving parents a copy of the Parent Handbook and NC Child Care Licensing Law. Ensures that online registrations are
  • filled out completely and all necessary information is provided before allowing a child to enter the program. Receives
  • signed statement for each registered student from their parent stating the receipt of all required registration information.
  • The program coordinator provides documentation in a timely manner to the billing person at the Central Office to establish, terminate or change billing as
  • needed. They are also responsible for suspension of students on the date prescribed in the payment policy for non-
  • payment of fees.
  • Program Coordinators are responsible for; record keeping, inspection rules and regulations with regard to fire and safety
  • drills, storing and serving snack , ensuring meal pattern requirements are met and fiscal management in the after school
  • programs. They are responsible for providing monthly snack menus and orders to obtain and provide snack to the children
  • at their center on a daily basis. Monthly snack menus must be posted and followed or updated at the time of change at
  • each site. Snack menu should also be posted on the web site or sent out to parents on the Procare App..
  • Ensures that all school space and equipment used by the program is cleaned and left in the same or better condition as
  • before after-school.
  • Ensures compliance with the requirements of NC law regarding the reporting of suspected child abuse or neglect. NC
  • LAW REQUIRES THAT SUSPECTED CHILD ABUSE OR NEGLECT BE REPORTED TO THE DEPARTMENT OF
  • SOCIAL SERVICES. When possible, check with the principal and/or school counselor first. Maintain strict
  • confidentiality about this information with other persons.
  • Related duties as assigned.

 

Minimum Qualifications & Requirements

  • Minimum education of high school diploma &  two years of college in Early Education or a related field. Must have or be
  • willing to obtain N.C. Child Care Credentials. Experience teaching and/or managing programs for school age children
  • and supervising staff.
  • Health form (physical) must be completed and signed by a physician stating that the applicant is able to take care of
  • children and must have a negative TB test (or waiver letter) within the last year.
  • Must provide information and consent to conduct a criminal background check whenever requested to be evaluated by
  • personnel to approve for initial or continued employment.
  • Must provide identification for the I-9 homeland security check and it must also be approved by the personnel for
  • employment.
  • Must be approved by the Board of Education.
  • Work Hours
  • The regular work hours for Program Coordinators are Monday-Friday, 1:30-6:30 on school days. Additional hours will be
  • required for Program Coordinator meetings, training, scheduled early release days, and other special situations. Hours
  • outside of regular hours are to be documented on your time sheet and included by the power school coordinator as well as
  • staff time sheets before they are turned in. Changes in hours must be approved in advance by the Assistant After School Director.
  • Annual Leave and Sick Leave are provided monthly at a prorated level commensurate with hours worked per day.
  • Annual Leave may not be taken on days when children are in school. Vacation time, time off and regular doctor’s visits
  • must be scheduled during breaks or holidays when school is not in session.
