In business for over 20 years, MAC contributes to the community by completing LED lighting retrofits for existing buildings, lighting consultation services, commercial EV charging stations, commercial electrical service, and street light installation for new developments.
This important role will be responsible for assisting our operations manager with office management duties to include customer service, scheduling, and work order management.
Hours
Part Time: 16-20 hours/week
Tuesdays & Thursdays : 9:00am-2:00pm
Wednesdays: 8:00am-2:00pm
Office Manager Assistant Duties:
- Answer phones
- Greet guests and visitors
- Coordinate between departments and operating units in solving day to day admin and operating problems
- Prepare work orders and organize documentation for projects daily
- Schedule and coordinate projects, meetings, estimates and events
- Maintains work and estimate statuses in work order management software
- Apply for electrical permits as needed
- Update contractor licenses as needed
- Schedule Inspections as needed
- Order certificates of insurance as needed
- Order Background checks on new employees
- Send W-9 forms to customers upon request
- Reconcile timesheets in work order management software and account for labor hours for apprentice electricians
- Prepare business correspondence via email and phone as needed
- Manage company documents and files
- Perform multifaceted general office support
- Operate office machines, copiers, and computers
- Follow up with customers via satisfaction upon project completion
- Track returns and warranties for projects as needed
- Create forms and make copies as needed
- Create improvement processes for administrative team
- Maintain office supplies and keep office supply inventory
