We are looking to fill a full-time Administrative Assistant role in our Administrative Services office in Pleasanton, CA office. Qualified candidates with 4 years of work experience are encouraged to apply using the “Apply” link. A Bachelor’s degree in Business or related field from an accredited university is desired. The successful applicant will be detail oriented, numbers focused, highly organized and have excellent interpersonal skills. Prior experience in an AEC firm is ideal.
Must be authorized to work in the United States.
The purpose of the Administrative Services office is to provide support to our engineering offices, with timely and courteous delivery. The team currently consists of three Administrative Assistants (payroll, accounting, and ap) and the Administrative Services Manager. Joining a small team, the successful candidate will be expected to wear multiple hats and collaborate well. The role will comprise of support in these major areas of the business: accounting, recruiting, and administrative. Responsibilities are generally expected to be divided as follows but may vary depending on business needs with ad hoc responsibilities across the board.
25% accounting assistant:
- Data entry
- Cash receipts
- Deposit summary
- Occasional journal entries
- Occasionally running reports in the accounting system
25% recruiting support:
- Data entry/validation
- ATS implementation and maintenance
- Creating and publishing LinkedIn posts
- Career fair registration and preparation
50% administrative:
- Answering phones
- Filing
- Interdepartmental communication
- Company event/meeting support
- Participation in digital transformation in the department and overall process improvement
Starting pay for this role is based on a variety of factors including skills, experience, and education, and will fall between $32-38 per hour.
