TITLE: MAILROOM COORDINATOR JOB CODE: FULL-TIME / NON-EXEMPT / HOURLY
DEPARTMENT: FORECLOSURE LEVEL: SUPPORT STAFF
REPORTS TO: FORECLOSURE MANAGER
WORK SCHEDULE:
Between normal business hours of Monday – Friday
PRIMARY RESPONSIBILITY:
Responsible for the inbound and outbound mail processes for the Dallas office. This entails the coordination of all outbound mail for each operational department and mailroom processes/ supplies.
PRIMARY ACCOUNTABILITIES:
1. Coordinate with each business unit contact(s) for outbound mail volume and timelines (Foreclosure, Litigation, Bankruptcy, Eviction, AVT, etc.)
2. Oversee the administration and inventory of mailroom supplies (postage machine, FedEx materials, stationary envelopes, parcel envelopes, etc.)
3. Responsible for the timely delivery (driving to post office or FedEx drop box) of all outgoing mail to the drop-points; Must maintain valid driver’s license and liability insurance.
4. Ensures cost sheets are dispersed timely to the appropriate contact/paralegal for case entries.
5. Logging and delivery of incoming checks via mail.
6. Scanning of documents and mail into system.
7. Perform additional duties as requested.
8. Provides backup support to front desk Receptionist.
SKILLS / EXPERIENCE:
1. HSD; or equivalent of 2 years related work experience.
2. Two plus years in the mortgage banking/servicing experience is a plus.
3. Excellent PC skills with ability to adapt rapidly to a variety of systems.
4. Excellent interpersonal and communication skills with the ability to effectively communicate with individuals of varying authority in a professional and efficient manner.
5. Willingness to grow and take on additional responsibilities.
