MPS is seeking a talented administrative assistant (PT) who will be responsible for providing high-level administrative support to the vice presidents of corporate development, human resources, legal, and sales. This role is pivotal in ensuring the smooth operation of day-to-day activities, including coordinating meetings, managing travel arrangements, preparing presentation materials, and performing a variety of administrative tasks.
What You’ll Do
Meeting Coordination and Support
Greeting visitors when they arrive for meetings with management or staff.
Schedule, coordinate, and organize meetings, including reserving meeting spaces, sending invitations, and preparing agendas.
Provide in-meeting assistance, such as taking minutes and tracking action items.
Travel Arrangements
Coordinate and book domestic and international travel, including flights, accommodations, and ground transportation.
Prepare travel itineraries and manage travel-related expense reports.
Presentation and File Management
Assist in preparing PowerPoint presentations, ensuring accuracy and alignment with company branding guidelines.
Maintain and organize electronic files for easy access and retrieval of documents.
Mail and Shipping
Handle incoming and outgoing mail and shipping, ensuring timely delivery and receipt.
Supply Management
Monitor and manage office supplies inventory, placing orders as needed to maintain adequate stock levels.
General Administrative Support
Assist with special projects and ad hoc requests from the VPs.
Manage calendars and provide reminders for key deadlines and deliverables.
Ensure confidentiality and discretion when handling sensitive information.
What You’ll Need to Excel in This Role
Education: High school diploma required; associate or bachelor’s degree preferred.
Experience:
3 years of experience in an administrative or executive assistant role.
Experience supporting multiple leaders or departments is a plus.
Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Proficient in Office 365
Knowledge of SAP Concur
Strong organizational and time-management skills.
Excellent verbal and written communication abilities.
Ability to prioritize tasks and work under tight deadlines.
Strong attention to detail and problem-solving skills.
