Salary Range : (2024 Salary Range) $54,464- $69,918. Maximum salary upon new hire is $54,464.

Working Hours and / or Working Conditions : Job responsibilities require work to be performed at various office / classroom and campus sites, necessitating inter-building / campus and off campus travel.

Knowledge, Skills and Abilities : Must have ability to analyze tasks, organize tasks, establish priorities, and prepare summaries and reports; possess good oral and written communication skills; able to elicit and provide clear, precise information, to make group presentations and to provide group leadership; possess good inter-personal skills while working well with faculty, staff and individuals at various levels inside and outside the College. Ability to work independently with minimal supervision. Ability to coordinate the activities of the various areas. Must possess team leadership to include the ability to form teams and function as a member. Judgment and initiative in implementing systems and procedures to eliminate barriers to production a must as well as proactivity in problem solving and troubleshooting situations.

Supervision : SUPERVISION RECEIVED : Reports to Dean Business, IT and Culinary Division. May receive direction on assignments from other divisional administrators as assigned by the Dean. SUPERVISION GIVEN : May give direction for daily tasks to full and or part time staff as assigned.

Job Function

FUNCTION : Provide systems and procedures analysis, development, documentation, training and guidance within the Business, IT and CulinaryDivision. Provide direction to office staff, which provides clerical support services for administration and faculty. Coordinate database systems used by divisional personnel and provide training in these systems.

SCOPE : Support all areas as assigned with emphasis on providing services to administrators, full-time and adjunct faculty. Coordination of divisional responsibilities for Colleague (Integrated Information System), payroll, personnel systems, purchasing and inventory systems, textbook requisitions and other college systems.

Job Responsibilities

  • Provide assistance and support to the Dean, Associate Deans, and Administrative Support Staff (Clerical)
  • Communicate with other College employees and outside personnel to resolve procedural and systems questions.
  • Plan and coordinates Business, It and Culinary centered events, tours and visits.
  • Initiate discussions with clients / users of divisional clerical and support services for the purpose of improving services.
  • Coordinates Marker Space activities, events, staff and equipment.
  • Coordinates computer lab classrooms software and equipment updates.
  • Responsible for the development, modification, implementation and ongoing evaluation of the formats, procedures for and systems used by the division to integrate all activities within the division and with other appropriate departments of the College.
  • Maintain awareness of uses of technology and apply that knowledge to improve divisional clerical and support services.
  • Coordinate web-page development and maintenance for division / departments with Computing Services, Marketing, and other appropriate staff.
  • Serve as divisional liaison for areas as assigned.
  • Serve on various College and ad hoc committees related to divisional systems and procedures.
  • Responsible as team leader for Administrative Support Personnel.
  • Coordinate arrangements for and develop staff in-service training sessions.
  • Coordinate development of personal development plans for divisional staff.
  • Responsible for working with all department staff to achieve uniform collection of data and preparation of various department and College reports including compilation of department annual reports.
  • Develop, update, and maintain office procedures manuals.
  • Assist in preparation of publications of new and revised policies and procedures.
  • Responsible for scheduling, training, supervising and establishing priorities and timelines under team-oriented approach for clerical and other support staff of the division.
  • Coordinate reporting requirements to assure timely completion.
  • Oversee development of systems and procedures for maintaining physical and material organization and inventory of department files, program materials,
  • Coordinate ordering, inventorying, and distribution of teaching supplies and equipment.
  • Performs other duties as assigned.

Education

Associate degree from an accredited institution is required. Bachelor's Degree desirable.

Qualifications

Three years experience related to systems and procedures analysis, development, documentation, training, or project management. Demonstrated ability to use and effective working knowledge of personal computers in a Microsoft Windows environment and various software applications such as Microsoft Word, Microsoft Excel, Microsoft Teams, Business Intelligence.
